1. Advance notice: Spring term actuals - Online Provider Portal re-opening for checks

Please note that the Online Provider Portal (OPP) will be re-opening between 14-16 February for you to check your Spring term Free Entitlement (FE) actuals claims.

If you missed the deadline you can submit your actuals between those dates but only for children present during headcount week.

Please follow the usual exceptional payment request process for children who have started/wish to start after headcount day (Thursday 18 January 2018). Do not add them to your headcount.

30 hour codes reminder: We can only fund 30 hours places for spring term for any parent who has a valid 30 hours code with a start date of 11 January or earlier.

If you have any queries please email free.entitlement@westsussex.gov.uk

2. Mandatory Early Years Census 2018 – now open

The Early Years Census form is now available for you to complete via the Online Provider Portal (OPP). This is a mandatory return.

Please refer to the attached document  “Important Information – Census 2018” for specific guidance around the staff qualification questions as we are receiving a few queries.

The deadline for return of your Early Years Census Form is 14 February 2018. Future FE payments may be at risk if you do not complete your Census return by this deadline.

Please refer to the Census article in the previous weekly broadcast sent on Wednesday 31 January 2018 for further information.

3. Update your Termly Childcare Provider Update form today!

Please submit an updated Termly Childcare Provider Update form on the Online Provider Portal for this term. For support to update your vacancies, see page 8 in the online guidance.

You should provide at least a termly update:

  • Update, even if you’re full. Updating is about more than just free advertising. Out of date information can directly affect your business.
  • The Early Education and Childcare statutory guidance (March 2017) requires local authorities to update setting information at least once a term.
  • Updating your setting information termly is a condition of offering Free Entitlement (Section 6.1, Provider Declaration 2017 – 19).
  • If you have not updated your details in the last year we remove you from our public list. This is to prevent a breach to the data protection policy, which you agree to when submitting your profile update.

4. Jobs in Childcare

Before Christmas we sent out a ‘Have Your Say Survey’ to all settings regarding the Jobs in Childcare Bulletin.

Your feedback indicated that the Jobs In Childcare adverts have a low success rate, with only 28% of successful candidates being employed through an advert in the Bulletin.

In light of this feedback, with over 70% of employment being sourced via other platforms; we have decided to stop advertising vacancies. Consequently, the final deadline for a Jobs in Childcare Bulletin is Thursday 1 March at 11am.

We will continue to advertise any existing vacancies until the closing date expires.

5. Free Entitlement leaflet available

As previously communicated the Free Entitlement (FE) leaflet has been updated and now covers Extended FE and Tax Free Childcare. The new leaflet is titled ‘Discover… Free Entitlement (From September 2017)’.

As you are aware, this leaflet is aimed as a guide for parents and carers about the Free Entitlement for 2, 3 and 4 year olds. As part of the Free Entitlement Provider Declaration you are expected to provide parent/carers with a copy of this leaflet.

A reminder that the new leaflet is available to collect from your nearest Children and Family Centre. Please call your nearest centre prior to collecting.

You can also find a copy of the new FE leaflet on our webpage under ‘Additional scheme documents’: www.westsussex.gov.uk/ecsfreeentitlement
