Current Provider Hub Users: Tell Us How the Online Tool is Working for You

Providers who currently use the Provider Hub are invited to complete the Provider Hub Quarterly Usability Survey:

  • Share how the online tool is working for you

  • Complete in 5-10 minutes in your preferred language — English, español (Spanish), Soomaali (Somali) and Hmoob (Hmong) available

  • Responses are anonymous — your name and email address are not attached to your answer

If you’d like to share feedback directly with the Provider Hub team, email us at providerhub@state.mn.us.

About the survey

We share this survey with current Provider Hub users about four times per year. Results help inform how we keep improving the Provider Hub.

Past results

Thank you to everyone who shared their thoughts in the survey last spring. Results show that users are happy with the overall look and feel of the Provider Hub but have trouble understanding how to get around efficiently.

In this next round, we’re hoping to learn more about how to improve navigation and consistency for users.

People Seeking Child Care Invited to Participate in Design Research

As part of the larger Systems Transformation initiative*, the Licensing Information Lookup (LIL) is being redesigned. LIL is an online search tool that displays public information for programs licensed by the State of Minnesota, including child care programs.

We want to partner with people who may use the tool to help us improve it.

Research details

  • Who: People currently seeking child care — especially those whose preferred language is not English and/or who live outside the Twin Cities metropolitan area

  • Where and when: One 20-30 minute online session; various dates and times available

  • What: Participants can expect to meet with 1-2 members of a design team at the State of Minnesota. Activities may include using an online tool to sort terms into groups, comparing a few designs and answering questions. Participants may be asked to share their screen during the online session

  • Compensation: Participants will receive a gift card.

  • Interested? Email providerhub@state.mn.us. We'll then share more details and, if it’s a good fit, schedule a session. We’ll also ask about access needs so we can do our best to meet them (e.g., include an interpreter).

Request of providers

Please share this opportunity with families in your programs and/or others in your network who may be seeking child care.

Interested in participating in this research as a provider? Email providerhub@state.mn.us for details.

Background

*The Provider Hub is also part of the Systems Transformation initiative. This initiative is using technology to create more efficient, user-friendly and equitable experiences for families, social services providers and government workers.

Minnesota Licensed Family Child Care: CCAP Registration Now Available in the Provider Hub

Minnesota licensed family child care providers can now use the Provider Hub to manage their Child Care Assistance Program (CCAP) registration information.

Managing CCAP registration — and applying for a child care center license — are the only actions family child care providers can take in the Provider Hub. Family child care providers are not yet able to manage their family child care license or Great Start Compensation Support Payment Program information in the Provider Hub.

Family child care providers should not create their own Provider Hub account. If you want to register with CCAP for the first time, or after a period of not being registered, email ccap.providers.dcyf@state.mn.us to request a Provider Hub account.

Find more details in the CCAP September newsletter and on the Recent changes to CCAP provider registration process webpage.

Provider Hub Information Line Updated

The information on the pre-recorded Provider Hub Information Line has been updated. Call 612-504-1298 toll-free to listen to information about the online tool.

The recorded information is primarily for family child care providers. It includes the latest information about the launch of family child care licensing in the online tool and how to get ready.

Currently, the updated information is available in English. The español (Spanish), af Soomaali (Somali) and lus Hmoob (Hmong) versions are being updated.

This Provider Hub Information Line offers recorded information only; it will not connect callers to staff. It’s a great resource for people who prefer to listen to — rather than read — information.

Provider Hub Tips: Keep Your Account Secure

Keeping your information in the Provider Hub secure is important. One way to do this: Don’t share your account information with others.

What is account sharing

Account sharing is when someone uses another person’s username and password to sign in to a system, website or account — like the Provider Hub. Here are some examples:

  • The director of a child care center has other staff use her username and password to log in to the Provider Hub while she’s on vacation.

  • Staff at a child care center share a computer for work tasks. Your coworker doesn’t log out of their Provider Hub account before they leave, and you complete tasks in the Provider Hub within your coworker’s account.

  • A family child care provider has a family member manage all their Provider Hub business using their individual username and password.

Why it’s important to not share accounts

Account sharing puts your personal information at risk and makes the Provider Hub less secure. Sharing your Provider Hub username and password with others is not allowed (i.e., it’s a violation of the Terms & Conditions).

How to avoid it

Take these steps to avoid sharing your Provider Hub account.

  • Only use your own username and password to access the Provider Hub.

  • Make sure the right people have the right access to the Provider Hub. There are different access levels in the Provider Hub that control what a person can do. Use the user access resources to understand which access levels are right for your staff and how to grant access.

  • If the official licensing contact for your program changes or leaves (i.e., Authorized Agent or Center Operator), talk with your licensor to update to a new person.

Product Success Team Tips

The Product Success team is the group of local experts here to help you find success with the Provider Hub.

How to connect with the team

Call 651-431-6075 or submit a support case when you’re logged in to the Provider Hub. We respond to cases Monday through Friday between 8 a.m. and 4:30 p.m.

When you call, leave a message

If someone isn’t available when you call, please leave a message. In your message, include as much of the following as possible:

  • Name

  • Program name

  • Phone number

  • Question(s) and/or request(s)

  • Business license number (if possible/applicable)

We don’t receive information from callers who don’t leave a voicemail. So, any information you leave in a message helps us return your call effectively and efficiently.

Whether you leave a message or submit a support case online, we aim to respond to cases within 24 hours — this may vary depending on the number of cases we’re receiving.

Recent Releases

We made improvements to the Provider Hub on Aug. 20 and Sept. 24. Updates included:

  • Resolved issue with file upload functionality for certified child care centers in program location change requests, so files are successfully submitted to licensors for review

  • Added generation of a PDF that specifies information submitted upon submission or change of CCAP tax information

  • Removed ability for providers to update square footage when updating or editing previously approved rooms in change requests — providers can only input square footage in an initial application or when requesting a new room

Check out the August and September release notes for details on these updates and more.

About the Provider Hub Newsletter

This newsletter shares general information about the Provider Hub for both current and future users of the online tool, as well as other interested folks. We send a new Provider Hub Newsletter about every two months. Find previous editions on the Provider Hub webpage.

We don’t intend for the newsletter to replace information sent directly to specific groups —such as alerts for current Provider Hub users or onboarding information for future users. We’ll keep sending those separately.

Get this newsletter in español, af Soomaali and lus Hmoob

The Provider Hub team publishes each newsletter in four languages: English, español (Spanish), Soomaali (Somali) and Hmoob (Hmong).

We send the English version first through email. As the other versions are ready, we post them on the Provider Hub webpage. When each of the español, af Soomaali and lus Hmoob versions are ready, we send them all in an email to newsletter subscribers.
