1. Autumn term actuals - Online Provider Portal re-open for checks (10-12 October) - FE only

Thank you for submitting your Free Entitlement (FE) actuals, Early Years Pupil Premium (EYPP) and Disability Access Fund (DAF) claims for the Autumn term.

The Online Provider Portal (OPP) has re-opened for you to check your claims are correct prior to payments. The deadline for this check is midnight Friday 12 October.

Please note: We are still processing a small number of submissions. If any children have ‘Edit Pending, Submitted’ against them as mentioned in step 17 of the guidance, we have received your original submission but have not yet accepted it into our system.  There is no need to contact us about this and if you need to make a change to the submission, follow the guidance to make the required changes to the record as normal.

Please check the following:

  • All children no longer claiming FE with you have been deleted. If not, request deletion.
  • No children with zero hours left on your headcount.
  • All eligible children who were in attendance during headcount week only (w/c 17 September) are present and correct, including their personal details. If they were not in attendance during headcount week – remove them from this headcount and submit a Post-Headcount/Exceptional Payment request.
  • All children have the correct number of weeks and correct number of weekly universal and extended hours as attended during headcount week.
  • All EYPP information is present and correct.
  • DAF claims are still being processed, once DAF checks are complete payment will show as an adjustment.

WARNING: If you need to correct any extended hours, please note you will be required to carry out a “30 hours free childcare check” on the code again. This could result in a change in eligibility status and/or key validity dates which in turn may delay payments.

Payment is due for release at any point during the week commencing 22 October. Please note it may take 3-5 working days for the payment to appear in your account.

If you have any queries please contact the Family Information Service by email free.entitlement@westsussex.gov.uk

2. Supporting potentially vulnerable families using the Family Service Directory

You may have already used our Family Service Directory (FSD) to search for family activities or support services for yourself, or families you are working with, but we’re pleased to announce a new addition to the FSD search facility.

You can now use the ‘Professionals’ tile to search for support services and activities using the indicators in the Children’s Learning and Well-Being Audit (CLaWBA).

So, if you’ve identified a family as being potentially vulnerable due to one or more CLaWBA indicators, you can use the website to search for services that may be able to offer the family support. Whether it’s opening up opportunities for a wider variety of play experiences, or offering the family support following a bereavement, the FSD may have details of a service that can help.

Please note: the FSD should be used as a guide, and professionals should conduct their own research into services to confirm the suitability for families.
