Updates and Reminders

Downtime for IQIES and ACO/ACTS: The IQIES system will be down for maintenance from 8 p.m. on April 13 to 8 a.m. on April 17. Additionally, ASPEN will be unavailable the weekend of April 22-23 due to an upgrade. Please plan your work accordingly. If you have questions about the upgrades, or didn’t receive the information about the release, please reach out to Brenda Boike-Meyers to make sure you’ve been added to the correct mailing list/permissions groups.

Don’t forget to take your floating holiday before June 30! Spring is here, and the end of the fiscal year will be upon us before you know it. Make sure you’ve checked your vacation balance before June 30 and made plans to use your yearly floating holiday and that your vacation balance is below the cap. If your balance isn’t going to be below your cap, you can choose to convert your vacation time into your deferred compensation plan. (Not all contracts allow conversion, so check your union contract.) For more information, check out the MMB Deferred Compensation Conversion and Match FAQ page, or reach out to your union representative or the MDH HR team.

Next week at Café Connect: Outlook Organization, part 2! A few weeks ago, HRD’s Information and Improvement Coordinator Siobhain Rivera did a part one of a presentation about ways to stay organized in Outlook, and next week (April 21), she’ll be doing the second half, which focuses on how Outlook interacts with other M365 tools. You can find the recording of her first presentation and info about how to join the upcoming sessions on the Café Connect SharePoint Site. Can’t make the meeting but have Outlook questions? You can drop into Siobhain’s Office Hours (Fridays at 2 PM in the MDH_HRD Team) of send her an email to set up some time for her to chat with you or your team!

Learn about current events in the aging and disability space at Odyssey webinars: The Minnesota Board on Aging and the Department of Human Services (DHS) are hosting a series of free webinars about important topics related to aging and disability. Upcoming sessions will cover data, current trends, and promising practices about the shortage of direct service professionals in the workforce, as well as legislative updates and major initiatives that DHS is working on to better support older adults and people with disabilities. You can register for the webinars on the 2023 Odyssey Series website.

This week, we have some folks moving into new roles to celebrate!

  • Kaia Johnson and Brenda Kuechle joined the Federal LCR team as Health Program Representatives! Kaia previously worked in the HRD Budget unit on the deposit team; check out her Employee Spotlight article from earlier this year to learn more about her! Prior to joining the LCR team, Brenda was supporting the Nurse Aide Registry team in a temporary role. Both of their knowledge, skills and enthusiasm will help successfully continue the good work in the Federal LCR team.
  • Sarah Grebenc has accepted the position of the Executive Regional Operations Manager for the Federal team. Sarah is a Master’s Prepared Social Worker (MPSW) with a current Minnesota Social Work license. Throughout her career, Sarah has worked in a variety of State positions, with 13 years being work within HRD. Recently, Sarah completed the 6-month long Emerging Leader Institute program. She is energetic, optimistic and dynamic and we look forward to her being successful in this role!

News from the Internal Health Equity Advisory & Leadership Team Hub (I-Health)

I-Health, short for the MDH Internal Health Equity Advisory & Leadership Team is a team of MDH employees comprised of representatives from all offices and divisions across MDH and supported by the Center for Health Equity, Health Equity Bureau.

HRD is pleased to announce that Erika Fulgern has joined I-Health for 2023-2024 session, along with Catherine Lloyd who has served on I-Health over the past two years. If you’ve never met Erika, you can check out the Employee Spotlight she did in 2021 to learn more about her.

I-Health works to:

  • Advise and oversee implementation of health equity strategies at MDH
  • Streamline coordination of health equity activities, policies and projects across the agency
  • Foster greater collaboration amongst MDH divisions/offices around health equity.

According to Catherine, “We are excited to welcome Erika to represent HRD on I-Health! Erika’s lived and professional experiences related to health and racial equity, her communication style, and positivity will benefit the reimaging on the I-Health Charter and realization of the MDH vision for health equity.”

Jira Time: Oh no! I’m locked out of my Jira account.

The Minnesota Service HUB has a new option just for Jira. If you are locked out of your account, you can now submit a ticket that goes directly to the MNIT Jira staff that can help.

How do I know if I am locked out?

If you are trying to log into Jira and it is requiring you to do a CAPTCHA test, that means your account is locked. It will look like the image shown above.

Once your account has been locked, it will require a MNIT request to get it unlocked.

Navigate to the Minnesota Service Hub via the Intranet and select Request Help.

In the next screen select IT desktop support, video conferencing and other technology assistance via the Minnesota Service Hub. Or, just click this link: Minnesota Service Hub. This is a good one to add to your bookmarks.

Once you get into the Minnesota Service Hub, there is an option labelled: Jira Request-MDH.

  1. Click on Jira Request-MDH.
  2. Click on Request Now.
  3. Select Request a new Jira account.
  4. Enter your email.
  5. Click Submit request.

The ticket will go directly to the MNIT staff that work with Jira, and they’ll be able to unlock your account.

Need help? Join the Jira Office Hours!

Melissa Zaitz, HRD’s Jira wizard, is now hosting office hours for you to get all your questions answered!

Office hours are optional, drop-in times where you can come ask questions about Jira. Melissa can help you troubleshoot Jira issues, offer tips, and answer questions about topics including:

  • General issue (code) questions
  • Requesting time off
  • How to create reports
  • Utilizing Planner to schedule work
  • How to filter and group individual and team timesheets to easily identify errors before submitting and approving
  • Timesheet Approval
  • Moving time
  • Logging holiday time
  • Flex schedules
  • Why are we using Jira?
  • How does Jira help me?
  • Setting up a Dashboard

If you missed the meeting invite, reach out to Melissa and she can send it to you. You can also schedule some time with her if the office hours do not work for your schedule.

How do you keep up with Jira?

We all forget to track our time sometimes – it’s easy to get caught up in a day of meetings or a flurry of tasks and forget to update your timesheet. We want to hear from you – how do you stay updated with your time sheet? If you have a tip to share, let Melissa know and we’ll put it in a future issue so other people can benefit from your ideas!

  • JIRA Administrator, Job ID: 64659: This position will coordinate the administration and configuration of a new and robust time tracking application and related Admin Portal for the Health Regulation Division (HRD). The incumbent will work in collaboration with MNIT and Budget Unit partners for updates and releases of JIRA and the Admin Portal, develop communications, training, and guidance on the new applications for HRD staff, and assist HRD leadership in accessing division data for decision making purposes. Closes April 19, 2023.
  • Health Equity Strategist, Job ID: 64411: This position exists to support division leadership as they integrate, implement, and track progress on MDH’s Health Equity Strategic goals with a focus on building capacity in the public health system and community organizations, ensuring equitable and inclusive data practices, enhancing authentic community engagement, facilitating system change (e.g., change in public and private policies, procedures, and practices to eliminate structural inequities). Closes April 18, 2023.
