Updates and Reminders

Happy Friday, HRD! On Monday, August 22, our MSRS plan representatives will be available to answer questions about retirement accounts, including pension, Minnesota Deferred Compensation (MNDCP), and Health Care Savings Plans (HCSP). You can sign up for a slot to speak with someone through the links on the related intranet post.

Keep Calm and Learn On: Next week is the final week of our Keep Calm and Learn On Challenge, but it’s not too late for you to join us! We’ve been learning about ways to handle stress, anxiety, and grief in the workplace, and next week will focus on how we can support others when they are experiencing those emotions.

IT Asset Verification for MDH Employees: Next week MNIT will be sending out an email to all employees as part of an inventory process to verify that they have correct records of your equipment. The email will include a link to the Asset Verification Form, and instructions on how to complete the form; for staff who are on leave, supervisors will need to complete the form. Please make sure to complete this request promptly; if you have any questions, contact the MNIT Service Desk via phone or ticket.

Appeals for Frontline Worker Pay Program open until August 31: Applicants who applied for Frontline Worker Pay received a message this week letting them that their application will either move forward, or has been denied. If your application has been denied, you can submit form and evidence to appeal this decision until 5 p.m. on August 31.

Multilingual Differential Pilot Program for MAPE Employees: The MDH HR team recently launched the MAPE Multilingual Differential Pilot Program for employees who utilize their language skills to assist in the work that they do for MDH. All MAPE-eligible staff should have received an email with information about the program and a link to a survey. If you have questions about the program or did not receive the email, please reach out to Rachel Youker for more information.


SSIS Updates: New servers and password reset contact

We’ve had a few recent updates for staff that work with SSIS that we wanted to share here in case you missed the emails.

Start using new Horizon servers by September

HRD staff should begin using the new Horizon servers by September 1. If you continue to use the old servers, you will receive many error messages, and soon, they will cease to work entirely.

How can you tell which server you are using?

  • If you open Horizon and the icon is labeled workplace.mn.gov, you have already switched and don’t need to do anything further at this point.
  • If you open Horizon and the button you see is labeled county-ssis.mn.gov, you are using the old servers. Follow these instruction to update your settings and log in to the new environment: SSIS User Login Instructions for New Horizon Environment.

Use the SSIS Worker Pilot until EOD August 24

As the SSIS team makes updates to the software, we need to make sure that we are using the correct version of the program when we log in to Horizon.

The SSIS team is currently working on a new update, which will be released on Thursday, August 25. Staff should use the SSIS Worker Pilot icon to access SSIS until the end of the day on Wednesday, August 24. Starting August 25, staff will begin using the SSIS Worker Production icon. We will switch back to the SSIS Worker Pilot when the next release cycle begins on October 26.

Here’s a snapshot of the timeline:

  • Until August 24: Use SSIS Worker Pilot
  • Starting August 25: Use SSIS Worker Production
  • Starting October 26: Use SSIS Worker Pilot

Password Resets and New User Requests

Brenda Boike-Meyers on our HRD IT Support Team will be the contact going forward to set up new users, troubleshoot connection issues and reset passwords. If you need help, please submit a ticket through the MNIT Service Hub; you can find detailed instructions in the Request permissions for HRD-specific applications section of the Employee Onboarding page.


Employee Spotlight: Meet Fernando!

This week we are featuring Fernando Nacionales, one of our HRD Engineers!

Name / Pronouns / Position: Fernando Nacionales (he/him), Principal Engineer

Location: Golden Rule / Remote

Tell us about your background. How long have you been in HRD? How did you get here?: Been with Health Resources/Compliance Monitoring/HRD since 1992, with occasional side jobs for a federal government agency. Worked for 3 years at Environmental Health, Drinking Water Protection, Plumbing Unit, in the late 1990s.

What's your role within HRD? What do you work on?: I review construction plans for health care facilities to ensure compliance with applicable state and federal laws, statutes, rules, codes and standards, and provide technical advice to design architects, engineers, contractors and facility professionals on anything related to health care design and construction.

Describe a current project you're excited about, or an accomplishment you are proud of: Working on a $1B hospital project in Duluth. I led the Alternate Care Facility assessment team in 2020. (Editor’s note: Fernando was honored with an award for his service in the National Guard earlier this year in recognition of his work establishing alternate care facilities during the COVID-19 pandemic.)

What do you like to do when you aren't working?: Sleep, eat, run, hike, bike.

  • Health Facility Evaluation Supervisor 3 (Federal Operations), Job ID 58332: The Federal Regional Operations Manager is responsible for initiating, directing, and implementing policies, procedures and activities within the Health Regulation Division related to the management of a comprehensive statewide system of state licensing and federal certification of health programs. This position will supervise Regional Surveyor Supervisors and their teams located throughout the state of Minnesota. Closes August 22, 2022.
  • Health Care Program Investigator (State Operations), Job ID: 58060: This position will accept and investigate complaints against health care practitioners regulated by the Health Occupations Program. This position will evaluate evidence collected and recommended whether disciplinary action should be taken, negotiate settlements and enforce discipline to ensure practitioners comply with the statutory requirements enacted to safeguard public health and safety. Closes August 22, 2022.
  • Nursing Evaluator (State Operations), Job ID: 57470: These positions provide regulatory surveillance to licensed assisted living and home care providers using nursing and health related knowledge in an effort to assure quality care and services through compliance with State regulations laws and rules which directly relate to the provision of assisted living and home care services. Closes September 30, 2022.

Have you set up your Adobe Digital Signature?

Last year, the Finance team rolled out new requirements for Employee Expense Reports that require all staff to use an Adobe certificate-based digital signature. As we move into the new fiscal year, we wanted to share the reminder to go ahead and make sure your digital signature is set up in case there’s a document that you need to sign.

You might need to set up a signature if you:

  • Joined HRD within the last year
  • Have recently updated or reinstalled Adobe Acrobat
  • Have received a new computer within the last year

The Employee Expense Reports Digital Signatures SharePoint Page has a thorough explanation of the different kinds of digital signatures, as well as instructions for how to create a digital certificate and how to use the digital signature to sign a PDF.

Things to know about Acrobat signatures:

  • If you had to reinstall or upgrade Acrobat due to the recent update issues, or you recently received a new computer, you will need to create a new certificate. It’s possible to transfer a certificate, but it’s easier to just create a new one.
  • Make sure to save the password for your digital certificate in a safe place! Unlike your computer password, the Adobe password doesn’t change, so store it in a password manager or some other place where you’ll be able to find it later.
  • You can create and use a signature with Acrobat Reader, but all HRD staff should have a license for Adobe Acrobat DC. If you aren’t sure whether you have a license or have questions, please reach out to Siobhain Rivera and she can help you determine whether you have the license.
    • Licenses for new staff should be ordered through our Supply Orders process; instructions are available on the Order Supplies and Request Software Licenses section of the Employee Onboarding Information page.
