Introducing the Digital Accessibility Program

Name change alert! The electronic information accessibility program is now the digital accessibility program. Why the new name?

  • More plain language
  • Reflects current, widely recognized terminology
  • Matches the term used by the Minnesota State Office of Accessibility

Don’t worry, the purpose and function of the program is not changing. Just a name update.

Hyperlinks: a deeper dive

In a past newsletter issue, we covered how to use meaningful text for hyperlinks instead of the URL. This month we will take a deeper dive into hyperlink structure and problem solving.

Two hyperlink creation tips

  1. Make links obvious. It’s important to make any links visually obvious. The most common way this is done is by changing the color and underlining the link text. Many programs, like Word, do this automatically. On the flip side, be cautious about using document text that is colored and underlined, but not a link. People are likely to think that text is a link and will be confused and frustrated when it doesn’t work as expected.
  2. Properly create in your source document. Easier than remediating in PDF.

PDF hyperlinks have three layers of tags.

  1. Parent tag: Link tags never sit directly on the tag tree. They are always a child of another tag, usually a Paragraph, Reference, or Table Data tag (other tags are less common but acceptable).
  2. Link Tag
  3. Text Run and OBJR/Annotation: If the document has been reformatted using other software, the OBJR tag may have been replaced with an Annotation tag. They work the same and both are acceptable.

Fixing broken links in PDF

Add or fix a broken link by going to Tools > Edit PDF > Link > Add/Edit Web or Document Link. If the link needs editing, double click on the highlighted link. If you need to add a link to text, highlight the text, and the Create Link dialog box opens up.

Sometimes, when converting a document to a PDF, links that span two lines get broken into two separate links.

There are two ways to fix this.

Option 1

Retag the entire paragraph as one <P> tag (or other appropriate tag) by using the Reading Order Tool.

Option 2

Drag and drop the text and Link-OBJR in the tags panel so everything is under one <Link> tag.
