The Kansas Immunization Program
All providers participating in the Vaccines for Children (VFC) and Vaccines for Adults (VFA) Programs are required to complete the recertification process annually. The annual recertification process is completed electronically in KSWebIZ by the primary or back up VFC or VFA contact or the signing physician /medical director. The process includes reviewing clinic staff information, updating the number of patients served by the facility, reviewing program requirements, and signing the agreement. If your facility participates in both the VFC and VFA Programs, a separate enrollment must be completed for each program.
The recertification period opened on May 22, 2026, and must be completed by June 12, 2026.
What can you do to expedite your annual recertification?
First, ensure that all VFC and VFA contacts within your facility (including the primary, backup, and secondary, if applicable) have completed the required 2026 You Call the Shots training courses and have uploaded the completion certificates into KSWebIZ. This was announced in the January 14, 2026, issue of What's Happening Wednesday.
Next, verify that contact information for the medical director, primary, backup, and secondary, if applicable, contacts are up to date in KSWebIZ.
Finally, ensure all prescribing staff members are listed as physician contacts in KSWebIZ and their information is correct. Assuring this is done will allow for accurate information and will expedite the recertification process.

KSWebIZ Eligibility Category Patient Count Report
Due to upcoming federal holidays, vaccine orders placed in late June or early July may experience longer-than-usual delivery times.
- Please submit Vaccines for Adults (VFA) orders no later than June 19, 2026.
- Vaccines for Children (VFC) orders placed during the July 1st-7th order window may experience longer delivery times.
Important dates:
- Friday, June 19 – Juneteenth holiday. No vaccine delivery.
- Friday, July 3 – Independence Day, Observed. No vaccine delivery.
As a reminder, if clinic hours change or the clinic will be closed, please update the clinic hours in KSWebIZ. Changes made in KSWebIZ will not affect vaccine deliveries already in progress, so please allow enough time for updates to take effect. Plan ahead for holidays, staff meetings, or other known schedule changes that may result in the clinic closing early or being unavailable to receive vaccine deliveries. Marking your clinic as unavailable on early-closure days helps prevent carriers from attempting delivery when clinic staff are unavailable to receive vaccine deliveries.

The IZ Gateway is a secure system that helps immunization information move between different systems. It allows state immunization information systems (IIS), like KSWebIZ, healthcare providers, pharmacies, and other vaccine providers to safely share vaccine records. This exchange can help make a patient’s vaccination history in KSWebIZ more complete and accurate.
The IZ Gateway is used to supplement patient immunization histories, but it is not a search tool. Providers cannot use it to directly search or browse another state’s immunization information system
Kansas is currently connected with the following states through the IZ Gateway: Arkansas, Colorado, Connecticut, Kentucky, Missouri, Nevada, New Mexico, Oklahoma, and Pennsylvania.
The system uses patient-matching algorithms to find the correct record. For a match to occur, the patient’s information must match exactly in both KSWebIZ and the other state’s system. Even small differences, such as missing middle names, abbreviations, apartment numbers, spelling differences, or outdated addresses, can prevent records from matching and added into KSWebIZ.
KSWebIZ checks for matching records through the IZ Gateway throughout the day. When a match is found, the vaccine history is added to the patient’s KSWebIZ record.
Because records can only be added when the patient’s information matches exactly, some out-of-state vaccine records may not appear in KSWebIZ through the IZ Gateway. If the complete vaccine record is needed, providers will need to request the record from the other state using that state’s official records request process.
If a provider has publicly funded vaccine nearing expiring, it may be eligible for redistribution to another Vaccines for Children (VFC) or Vaccines for Adults (VFA) provider to prevent waste, as long as the cold chain can be maintained throughout transport.
The Kansas Immunization Program (KIP) maintains a Vaccine Redistribution List of publicly funded vaccines available for transfer between VFC and VFA providers. Vaccines may be added to the list.
Redistribution process and requirements:
- The vaccine has at least 90 days and no more than 365 days remaining before expiration.
- Vaccines must be in full boxes.
- The Regional Immunization Nurse or Nurse On-Call must be notified prior to any transfer to ensure appropriate transport protocols can be met.
- Once the vaccine is transferred, notify KIP so the redistribution list can be updated (e.g., doses reduced or removed).
- Providers must notify Vaccine@ks.gov of any changes in the number of doses available for redistribution.
- Doses must be electronically transferred in KSWebIZ and must be included on both providers’ monthly inventory reconciliation reports.
Additional information:
- Provider locations placing vaccine on the Redistribution List are responsible for any doses that expire before being accepted by another VFC or VFA provider.
- Providers interested in receiving short-dated vaccine should contact the provider listed on the Redistribution List (Primary Vaccine Coordinator contact information is included).
- Providers accepting redistributed vaccine are responsible for administering the doses once transferred and should only accept quantities they can use before the expiration date.
- When placing routine vaccine orders, providers may be contacted if the requested vaccine is currently available on the Redistribution List.
Frozen publicly funded vaccine will not be posted on the Redistribution List. If frozen vaccine needs to be transported, contact your Regional Immunization Nurse or the Nurse On-Call at (877) 296-0464 for guidance.

The 2025-2026 respiratory virus season has ended in Kansas as influenza activity in Kansas has maintained at baseline levels after peaking in late December. During the week ending May 16, 2026, 1.2% of visits reported by participating Influenza-Like Illness Surveillance Network (ILINet) providers were due to influenza-like illness (ILI), defined as fever (≥100°F) with cough and/or sore throat (Figure 1). Emergency department discharge data captured through syndromic surveillance indicated that 1.0% of emergency department visits in Kansas were associated with ILI (Figure 2). During the week ending May 16, 2026, the Kansas Health and Environment Laboratories (KHEL) detected influenza in zero specimens. Influenza A(H3) remains the predominant strain detected among specimens submitted by Kansas facilities. Wastewater surveillance data from participating sites in three Kansas counties indicates that currently, influenza A levels are low and influenza B levels are low.
As of May 28, 2026, there are zero active influenza outbreaks across the state. A total of 116 influenza outbreaks were reported during the 2025-2026 season. Outbreaks of influenza and other reportable diseases should be reported to the KDHE Epidemiology Hotline at (877) 427-7317 within four hours of suspicion.
Although the respiratory virus season has ended, KDHE will continue to monitor activity throughout the off-season. Current respiratory virus activity can be viewed through the Kansas Syndromic Surveillance Program Respiratory Related Visits Dashboard, which is updated weekly.
