Service Desk: Incident Management
Last month we discussed the importance of a stable IT infrastructure. One of the key components to a stable infrastructure is an incident management process capable of escalating and resolving issues in alignment with service level agreements. IT will be replacing ServicePro with Jira Service Management and modernizing the incident management process as part of the Jira implementation. The new process will emphasize transparency so IDL will have visibility into which systems are resulting in more unplanned interruptions or reduced quality, and where IT resources are being utilized. IT has already begun implementing elements of the new incident management process.
Product Updates
My IDL (Microsoft 365 SharePoint)
IT has resumed its My IDL Townhall Meetings. My IDL is the new SharePoint site. The main purpose of the new My IDL will be simple document sharing. The Townhalls are regular meetings held to provide support for business "power users" to enable them to construct their division's or program's SharePoint sites.
IT will provide training and support to appointed individuals from each Bureau and Program to help them configure and maintain their own SharePoint sites. Empowering a handful of power users will make light work of the migration to the new SharePoint. Plus, the power users will be empowered to customize their SharePoint sites themselves in the future as needed, rather than being dependent on IT! This is a better long-term solution.
If you would like to see the new My IDL, Kourtney Romine from the Minerals, Navigable Waterways, Oil & Gas Division (MNOG) has already completed her division's site. She has done an excellent job and has committed to help other divisions with their sites too. She will be available for assistance at IT's My IDL Townhall Meetings.
And please note, in order to decommission the old SharePoint and start using My IDL as soon as possible IT has identified a handful of elements, such as Daily Fire Report, for which My IDL is not the best fit. IT will identify new solutions and work with stakeholders during the development process.
Cybersecurity Updates
Reboot!
IDL IT has been working hard to get patches to your machines to keep your personal and work data safe in a threat-filled world, but we need your help!
IT will be pushing patches on a regular basis. If you see a pop-up notification on your device that is marked "Endpoint Central," it means that our system is scanning your device for any updates or patches that need to be installed. Please be aware that we will be pushing patches on Tuesdays, and we would appreciate it if you could choose to restart your device on Thursdays at the end of the day to ensure that all updates are properly installed.
Currently we have over 300 systems that are waiting for the workstation to be rebooted before they can continue with updates.
Whether you choose to leave your computer in the office or bring it home it is important to restart it at least twice a week.
The best time to restart your computer is at the end of the workday! If you are planning to bring your workstation home at the end of the day the best time to restart your machine is during lunch.
Remember when restarting your computer to choose the “Restart” option and not the “Shutdown” option. The Restart option allows your computer to install updates while the shutdown option only turns it off.
This is an important process and allows IT to keep our work environment stable!
