DO NOT DELETE. This message contains vital information for pharmacies that dispense controlled substances to patients in Wisconsin. If your pharmacy does not dispense controlled substances to patients in Wisconsin, you may submit an application for an exemption of the PDMP data submission requirements using this form. If your pharmacy is currently exempt from the data submission requirement, you do not have to take any action—your exemption will remain in effect.

New WI ePDMP Requirements Beginning in April

Dear Managing Pharmacist,

As you are aware, the Wisconsin Department of Safety and Professional Services (DSPS) launched the new Wisconsin Enhanced Prescription Drug Monitoring Program (WI ePDMP) on January 17, 2017. The WI ePDMP is a valuable tool for prescribers and pharmacists in the continuing fight against prescription drug misuse and abuse in Wisconsin. However, the WI ePDMP is only as valuable as the data is current and accurate. To that end, pharmacy compliance is essential to the value of the WI ePDMP.

The past two months provided an opportunity for pharmacies to become familiar with utilizing the WI ePDMP to comply with the data submission and correction requirements of the law. If your pharmacy has not been submitting and correcting data, it must begin to do so as soon as possible.

If you are experiencing technical issues with registration, submitting data, and system errors, contact the technical help desk for assistance:

New Data Submission Frequency

Beginning on April 1, the law changes the frequency with which pharmacies must submit data to and correct data in the WI ePDMP. The new requirements are:

  1. Pharmacies will be required to submit data or zero reports to the WI ePDMP no later than 11:59 PM of the next business day after the monitored prescription drug is dispensed. A business day is defined as any day that DSPS is open. The definition of business day does not include weekends or State holidays. Please click here for a list of State holidays for your reference.
  2. Pharmacies will have five business days to correct errors in previously submitted data. To ensure the accuracy of the data in the WI ePDMP for all users, records with errors ARE NOT loaded into the database until they are corrected. There is no threshold for the acceptance of records with errors. It remains the responsibility of the managing pharmacist and pharmacy to ensure known errors attributed to the pharmacy are corrected in a timely manner. If your pharmacy location does not already have a PHARMACY account, we strongly urge you to create one to monitor and correct errors attributed to your pharmacy location even if the records were submitted by a vendor or a central office.

    New Data Fields

Beginning on April 9, the law requires the submission of the name of the person who picks up a schedule II or schedule III controlled substance unless an exception applies. Please see Wis. Stat. 450.11 (1b) for information about the requirements to collect the information. Once the information is collected, it must be submitted to the WI ePDMP. The most recent Data Submitter Reference Guide provides more information about submitting the data. Future updates to the Data Submitter Reference Guide will be made available on the Training Materials page of the WI ePDMP website.

Beginning on April 9, all records submitted to the WI ePDMP about a schedule II or schedule III controlled substance will be in error unless they include the required information.  Note: If the record is delivered to a healthcare facility, the record may be corrected by entering “E” in the first name field and “3” in the last name field to indicate that the exception to reporting in Wis. Stat. 450.11(1b)(e)3. applies to the record.

Thank you for your cooperation as we implement these statutory changes. You play a crucial role in ensuring that the WI ePDMP contains complete and accurate information.

    Sincerely,

    Chad Zadrazil, Managing Director

    Andrea Magermans, Deputy Managing Director
