Private Schools Enrollment Reporting - September 9, 2024

Today we sent a bulletin to Private Schools. Unfortunately, we included incorrect links to the Excel Enrollment Worksheet.

The links have been updated; we apologize for the confusion.

Enrollment Reporting Checklist

Here is what you can do to prepare for the upcoming count day on October 2, 2024, to ensure timely and accurate submission of reporting forms by November 1, 2024:

Confirm School Information

Visit the Private School Approval page and verify your school's approval status and the name of the principal or head of the school.

If the personnel information is outdated or incorrect, complete the Private School Change of Information Alert form by Monday, September 23, 2024.

If the information is accurate, no further action is needed.

Download and Complete the Excel Enrollment Worksheet

Download as many Enrollment Report Worksheets as needed for your campuses.

Completing these worksheets ahead of time will:

Save Time: Transferring data from a completed worksheet to the online form should take about fifteen minutes.

Ensure Accuracy: The sum of full-time enrolled kindergarten through 12th-grade students should equal the total number of students enrolled.

Enrollment Reporting Overview

Purpose: While participation is not required for private school approval, enrollment data may be used in the approval process and for distributing federal funds.

Data Required

Total enrollment of full-time, in-person students in kindergarten through 12th grade.

Enrollment of students in Early Learning/Pre-K programs (if applicable).

Demographic information by grade for K-12 students.

Important Dates

October 2, 2024: Reflects the official enrollment date.

October 2, 2024: The 2024-2025 Enrollment Reporting Form will be available online and emailed to schools.

November 1, 2024: Deadline to submit the enrollment form.

Instructions for Schools

Multiple Campuses: Each campus must submit a separate report.

Race/Ethnicity Categories: Follow federal regulation.

Additional Key Dates & Deadlines

September: Submit any changes to school information.

October: Enrollment Reporting for SBE.

November: School Immunization Reporting for the Washington State Department of Health.

February: Private School Approval Zoom Q&A Sessions.

March: Private School Approval Application for SBE.

April: Private School Intent to Participate in Federal Programs forms are due for OSPI.

June 26: SBE Board Meeting to vote for 2025–2026 Private School Approval.

July: Weapons Reporting for OSPI.

Reporting Platforms

SBE Reports and Applications: Instructions will be provided before due dates.

OSPI (Office of Superintendent of Public Instruction) reports are submitted through the EDS (Education Data System) system.

Department of Health Reports: A portal link will be provided to schools directly.

Make sure to mark these dates and complete all necessary forms on time to ensure compliance and accuracy in reporting.
