Below you’ll find information about upcoming State Board of Education deadlines and processes.
Provisional approval granted in June will expire on October 30th. If you have not already done so, please email the Private Schools Manager with all outstanding application paperwork by September 26th.
You can check the status of your approval application on our webpage, Private School Approval | SBE (wa.gov), under the first bullet point.

This year the official count day for the private schools is October 4, 2023. Reporting forms are due November 17, 2023.
What you can do to prepare:

Confirm your school information – The head of school email address functions as your username to access SBE processes, including the Enrollment Report. You can confirm that the name we have on file is accurate by checking your school information on our webpage, Private School Approval | SBE (wa.gov), under the first bullet point. The list is labeled “2023-2024 approval application statuses” and includes the most current information we have for your school.

Update your school information – If there have been changes in leadership, contacts, or location since you submitted your 2023 - 2024 Approval Application please submit a Private School Change of Information Form by the end of business day, Friday, September 22.

Download and complete the Excel Enrollment Worksheet – Note that you can download as many worksheets as needed, and that completing a worksheet for each of your campuses prior to filling out the online form will:
- Save time. With a completed worksheet, you should be able to transfer your data to the enrollment form in fifteen minutes or less.
- Help ensure accuracy. The sum of the full-time enrolled kindergarten through 12th grade students should equal the total number of students enrolled.
If you have difficulty downloading the worksheet, it is likely a browser issue, particularly if you are using Google Chrome. Please try a different browser if you have download issues.
Participation in enrollment reporting is not required for private school approval, although enrollment data may be used to verify information used in the approval process. Enrollment data is used in distribution of federal funds.
The enrollment data you provide should reflect the official school enrollment of full-time, in-person students as of October 4th. Please complete and submit the enrollment form before the close of business on Friday, November 17th.

The 2023 - 2024 Enrollment Reporting Form will be available on our website and also emailed to schools on October 4th.
Information Requested
- The total enrollment of only full-time, in-person kindergarten through 12th grade students
- The total enrollment of students in your Early Learning / Pre-K program, if you provide one
- Demographic information for students in kindergarten through 12th grade only
If your school has multiple campuses or schools, each campus or school will submit a separate report.
Note that the SBE is using the race / ethnicity categories specified in federal regulations per federal and state guidance. For more information, please see our website.

- September 26 – All outstanding 2023 - 2024 Approval Application materials due for schools provisionally approved in June
- October 4 – Enrollment Reporting Official Count Day
- October 11 & 12 – The State Board of Education meets in Yakima
- October 30 – June Provisional Approval Expires
- November 17 – Enrollment Reports Due
Note that these dates pertain to State Board of Education processes. Several other reports are required by separate state agencies, including the Office of the Superintendent of Public Instruction and the Department of Health.
