RE: Directory Change Request Process for 2022-23 School Year
Summary: The Office of the Superintendent of Public Instruction (OSPI) is responsible for establishing a numbering and classification scheme used to identify each school within the state. These directory data are the cornerstone for all state and federal reporting and attention to their accuracy and timely notification of changes to directory information are vital.
This bulletin is to inform you of the process to notify OSPI of changes to directory information contained within the Education Data System (EDS) for the 2022-23 school year.
All requests are due to OSPI no later than July 1, 2022, to take effect in the system by August 15, 2022.
Key Audiences: Educational Service District Superintendents, School District Superintendents, School District Business Managers, Charter Schools, Tribal Compact Schools, District Data Security Managers, CEDARS District Administrators
It's the end of the school year, and it's time to prepare your ALE documentation for next year or for storage!

Fall WSLPs for 2022-23 may be developed and approved now. Adjustments to WSLPs can be made in the fall. By developing and approving the WSLPs now, the student only needs evidence of participation in learning on or before the first count day (published 4th school day of September).
-
Records Retention Schedule:
- All ALE documents required for apportionment must be kept for five (5) years beyond the end of the school year (documents from 2016-17 school year no longer need to be maintained).
- These required items are: WSLP, weekly contact records, monthly progress reviews, any required intervention plans, sample syllabi, choice transfers.
-
State Auditor's Office (SAO) Audits
- Audits will start again next school year, and the SAO team will be looking at records from 2021-22. While we expect that there will not be numerous programs selected, it is still in your best interest to verify that you have everything in place and available in the event your district is called for an ALE audit. Check the 2021-22 sample checklist.
- OSPI ALE Compliance Reviews are still available as a pre-audit support tool, and all records reviewed are for the current school year.
For questions about ALE documentation, retention, or compliance reviews, contact Liz Quayle, Alternative Learning Accountability Manager.
