Every year the HCA audit team reviews whether SEBB Organizations have been following proper processes and procedures associated with verifying dependents enrolled in SEBB benefits.
The good news is that the recent audit revealed that the majority of benefits administrators are correctly verifying dependents. Based on the findings, here are some things BAs should remember when verifying documents:
- Refer to SEBB Administrative Policy 31-1, which clarifies which documents SEBB considers valid for dependent verification.
- Documents submitted in a foreign language must be accompanied by a translated copy by a professional translator.
- Hospital certificates must include all pertinent information, including the child’s footprints and showing the name of the parent who is the subscriber, the subscriber’s spouse, or the subscriber’s state registered domestic partner.
- Tax returns are required to be “the most recent year’s Federal Tax Return” – and include any children as a dependent (if the tax return is being used to verify children).
- If a marriage was more than six months ago, then along with a marriage certificate, evidence that the marriage is still valid is required.
- Double check that the correct names and date of marriage is entered correctly into Benefits 24/7.
Thanks again for your support in administering SEBB benefits.
