Kaiser Permanente of Washington (KPWA) and Kaiser Permanente Northwest (KPNW) will be completing a planned upgrade to their system beginning August 14 through August 24.
To help minimize any potential impact, both Kaiser Permanente and HCA have implemented measures to support enrollment continuity during the upgrade. However, during this period, HCA will be unable to transmit enrollment files to KPWA and KPNW. This includes both enrollment and termination of coverage files.
We are encouraging BAs to enter any plan enrollments that they make on behalf of employees in Benefits 24/7 before August 14, whenever possible. This will help ensure enrollment information is processed and transmitted to the carrier before the upgrade begins. The Benefits 24/7 system is not being impacted by the KP upgrade; BAs and employees will continue to have access to make plan elections during the KP upgrade period.
Any enrollment elections made in Benefits 24/7 (by a BA or the employee) during the upgrade period will be processed once the system upgrade is complete. Reminder that an employee’s coverage effective date is not impacted by the date enrollment elections are made in Benefits 24/7. In addition, entering a termination date of August 20 on August 20 will still result in coverage ending August 31, but KP would not get the termination file until after the upgrade period is complete.
Important: If an employee requires care during the upgrade and their enrollment has not yet been reflected in Kaiser Permanente’s system, both KPWA and KPNW will continue to follow their established Believe Me policy in their clinics and pharmacies to help ensure members can access needed care while eligibility is being confirmed. The KP Believe Me policy provides a period of time which KP will accept members’ word about their coverage status.
