Verifying dependents
Annual open enrollment begins next week, with many employees adding dependents. This message serves as a reminder about the dependent verification requirements. When adding a dependent to an account, employees must provide valid proof of the dependent's eligibility for enrollment. All verification documents must be received within the specified enrollment period.
- Annual open enrollment, October 30 through November 20.
- Newly eligible employees, within their 31 days of eligibility.
If dependent verification isn’t received by the deadline, the dependent will not be verified or enrolled. The employee has the right to appeal this decision by following the appeals process outlined on the SEBB website.
Valid dependent verification
A list of acceptable dependent verification documents is outlined in SEBB Policy 31-1. If an employee cannot provide a type of verification from this list but possesses alternative proof, they should inform their employer Benefits Administrator (BA). The BA should contact Outreach and Training via the "Benefits Administrator Inquiry" option in HCA Support. When submitting the inquiry, attach a copy of the employee’s documents, and the SEBB Program will determine if the provided proof is sufficient for the dependence enrollment.
Auditing dependent verification
The SEBB Program conducts routine audits on dependent verification to ensure only eligible dependents are enrolled on a SEBB employee’s account. If dependents are not properly verified — for instance, if no documents are submitted, invalid documents are provided, or the dependent was mistakenly verified and enrolled — they may be removed from the account, resulting in a loss of their health coverage.
For any inquiries about the dependent verification process or the validity of documents, please reach out via HCA Support before the dependent is verified.
