Action required
If you have items shipped to your home, you must confirm receiving them
Please follow the outlined process
By MARTIN MCMURRY Chief operating officer
Since we began our hybrid work model in 2020, we've worked through many changes and enhancements to our shipping processes. We've discovered we need a small process improvement to ensure we can easily and quickly verify receipt of purchases when items are shipped directly to employees at the worksite designated in their Mobile Work Agreement.
This small change will remove delays, enhance fiscal controls and further promote our hybrid work environment.
Per SAAM 85.32.30, “At a minimum, payment processing documentation should include evidence of authorization for purchase, receipt of goods or services, and approval for payment."
Team members still have the option to have items shipped directly to headquarters, field offices and hub locations, where staff at a designated time can retrieve those items from those locations. If items are shipped directly to you, please follow this process, working with your administrative support folks:
1. If items are shipped directly to you, you must send receiving confirmation as soon as possible but no later two business days after receiving the goods.
2. Email the following receiving confirmation information to receiving@commerce.wa.gov as a photo/jpg, PDF and/or text. It's vital you NOT include your address in any of it:
- Unit/Division
- Quanitity
- Field Order number
- Purchase Request number
If your administrative assistant helped you with your purchases, please reach out to them if you need help providing the above information. If you have questions, please email them to receiving@commerce.wa.gov.
Thank you for your continued work in strengthening communities!
