Proper WEX card use
Each DES Fleet-managed vehicle is issued a WEX fuel or EV charging card when it is assigned to an agency. To keep our fleet running smoothly and avoid problems, each WEX card is assigned to a specific vehicle. Drivers must use only the cards assigned to the vehicle they’re operating.
Why it is important
Accurate tracking of fuel usage
- If WEX cards are used with the wrong vehicles, DES cannot accurately track fuel or charging usage.
Prevents fraud, misuse, protects the driver
Fuel and EV charging cards are a common target for misuse, like:
- Purchasing fuel for non-DES vehicles.
- Charging for purchases other than fuel, such as snacks.
Using the assigned WEX card allows DES to identify misuse quickly and helps protect your agency from being held liable for charges made on the wrong card.
Ensures compliance with DES policy
- Confirms fuel purchases are only for DES-managed vehicles.
- Provides documentation that matches the vehicle’s license plate, odometer, and operator.
Improper use of the WEX fuel and EV charging cards may trigger audits.
Best practices
- Ask questions if you are unsure of how and when to use a WEX card.
- Report lost WEX cards immediately.
- Fuel only the vehicle labeled on the WEX card.
- Report all improper use to your Agency Transportation Officer (ATO).
