ESIT’s Fiscal Year ended June 30, 2022. Our data team will take the annual snapshot of the database on Monday, July 18. This data is used for federal reporting, specifically the annual performance report (APR). Our goal is to report accurate data to our federal partners, legislators, county governments and other stakeholders. To ensure accuracy of our reports, we ask that all data to be entered into the ESIT DMS by Friday, July 15.
Please ask your staff and coworkers to sign up for our GovDelivery notifications. This will ensure they receive the latest updates about the ESIT DMS system as well as our monthly Known Issues Document.
In the month of June 2022 ESIT Help Desk staff processed 72 data fixes and 323 administrative changes in the DMS. We also processed 137 requests to give school districts access to IFSPs, based on written parent consent retained on file in the local provider agency. If your program is implementing changes and you can anticipate that administrative changes in child records will be required, please notify the ESIT Help Desk ahead of time so we can anticipate the influx in requests.
When reporting errors to the Help Desk, please include the child ID or the child’s DOB and the first two initials of the child’s first and last name in the subject line of your email. Screenshots are also helpful to problem-solve issues where error messages are displayed. Inquiries to the Help Desk email inbox and messages through the DMS have the fastest turnaround.
Please note that our average turnaround time for your request is 24 business hours.
DCYF's production server on which the ESIT DMS resides will be down to perform some required maintenance activities estimated to begin at 5 a.m. on Friday, August 5.
This outage will affect all users. Please ensure you are completely signed out of the DMS (signed out and web browser closed) at the end of day on Thursday, August 4. The system will be unavailable from 5 a.m. on Friday, August 5, through Sunday, August 7 at 5 p.m.
All requests for assistance with the ESIT DMS should be submitted to the Help Desk esit.help@dcyf.wa.gov. Members of the Data Systems and Analysis Team check this inbox frequently and will respond to your requests. If you submit an inquiry to the ESIT Help Desk, you will receive an auto response reminding you that if you need access to data that is not available in our reports, to send your data requests to kim.hopkins@dcyf.wa.gov. The turn-around time for data requests can be 1-2 weeks, depending on the nature of the request and availability of our developer.
Due to the recent sunset of Internet Explorer 11, we have made the ESIT DMS available on Microsoft Edge. Instructions have been sent out and we will continue to provide personalized technical assistance to any user who has not yet installed the necessary update to access the DMS on Microsoft Edge. Silverlight is no longer publicly available for download. If you are onboarding new staff or need to download Silverlight on a new computer, please follow these instructions to install the Silverlight application:
- Make sure they have Windows 10 installed on their computer.
- You don’t need to download IE 11 to install the application, this can be done using Chrome.

Open this link in Google Chrome to download Silverlight.
- After the download, double-click on the Silverlight installer.
- When the installer is done you might need to restart your computer.
- Test it out by opening the ESIT DMS website in IE 11.
We have created a training guide that walks users through the process of re-determining eligibility for children that were previously referred but not found eligible. You can find this resource in the Trainings Guides and Exercises section on the DCYF website.
As a reminder, the eligibility decision should be entered in the DMS for all evaluated children, even if they were not found eligible for services at the time of the evaluation.
Our lean but effective team works on data fixes once a week and releases the script into our production environment after we have tested it to make sure the changes are correctly implemented. Some data fixes can take our developer multiple hours to complete. We try to be mindful to schedule all data fixes in priority order and our goal is to complete them within seven business days of receipt. The FRC will receive an email or DMS message once the data correction is visible in our system.
