Help Desk Fun Facts and Tips

In January 2022, ESIT Help Desk staff processed 91 data fixes and 328 administrative changes in the DMS. We also processed 262 requests to give school districts access to IFSPs. If your program is implementing changes and you can anticipate that administrative changes in child records will be required, please notify the ESIT Help Desk ahead of time so we can anticipate the influx in requests.

When reporting errors to the Help Desk, please include the child ID or the child’s DOB and the first two initials of the child’s first and last name in the subject line of your email. Screenshots are also helpful to problem-solve issues where error messages are displayed. Inquiries to the Help Desk email and messages through the DMS have the fastest turnaround.

Please note that our average turnaround time for your request is 24 business hours. As always, we appreciate your patience.

Silverlight Download Instructions

Silverlight is no longer publicly available for download. If you are onboarding new staff or need to download Silverlight on a new computer, please follow these instructions to install the Silverlight application:

  1. Make sure they have Windows 10 installed on their computer.
  2. You don’t need to download IE 11 to install the application, this can be done using Chrome.
  3. Open this link in Google Chrome to download Silverlight.
  4. After the download, double-click on the Silverlight installer.
  5. When the installer is done you might need to restart your computer.
  6. Test it out by opening the ESIT DMS website in IE 11.

Data Entry Tips and Tricks

Entering data in the DMS is an important task. Accurate data entry results in accurate reports and it helps us avoid time consuming data fixes. Here are a couple of reminders:

  • Double-check all data entered in the system before issuing an eligibility determination, COS, or IFSP.
  • There is no spell check available in the DMS, but it is an option to type up all text in a Word document and copy/paste from there (CTRL+C and CTRL+V work better than mouse clicks).
  • The View IFSP option allows the user to preview the document and scan for errors.

School District Training

The recording of the ESIT.Web School District Training is posted on our website.

Reports in the DMS

We have been seeing an influx of questions around reports in the DMS.

Reports in the DMS are available to users based on their role in the application. An FRC has access to different reports as a service provider, for example. If you proxy a user, the access to reports does not change – it is based on your role in the DMS and does not transfer to the role of the person you are proxying for.

Enrollment and Billing reports are available in the ESIT Web application. You will need an ESIT UserID to access these reports. Should you need access and have not been provided with the ESIT UserID, please contact your Agency Administrator for assistance before contacting the ESIT Help Desk.

If you have specific questions around a report in the DMS, please contact Kim Hopkins, ESIT Interim Data Manager, at kim.hopkins@dcyf.wa.gov.

Turnaround Time for Correcting Data Entry Errors and/or Other Data Fixes

Our lean but effective team works on data fixes once a week and releases the script into our production environment after we have tested it to make sure the changes are correctly implemented. Some data fixes can take our developer multiple hours to complete. We try to be mindful to schedule all data fixes in priority order and our goal is to complete them within seven business days of receipt. The FRC will receive an email or DMS message once the data correction is visible in our system.
