GBE PTA Board

Make a difference in your child's school community by joining the PTA Board for the 2019-2020 school year! These volunteer positions are a great way to get to know the Administration at GBE and help decide how the PTA will be supporting the school. Position responsibilities and time commitment vary, but usually take up no more than a few hours a week.

Nominations are being accepted now and voting will take place at the May meeting. In order for the PTA to exist and continue supporting our students and teachers, the President, Secretary, and Treasurer positions must be filled per bylaws. We are also seeking a Vice President.

PTA Secretary

Position Title: Secretary

Purpose: The secretary maintains membership and is responsible for recording minutes at PTA meetings.

Location: Position travels and work location will vary based upon the project or task at hand.

Key Responsibilities:

  • Performing specific duties as provided for in the bylaws
  • Assisting with duties as assigned by president
  • Attending PTA meetings and recording minutes
  • Track membership

Current designated duties:

  • Maintain database of members and run membership drive with support of membership chair (if position is filled)
  • Attend PTA meetings and record minutes. Post minutes to PTA website
  • Create agendas for PTA meetings and post to PTA website
  • Assist with planning and preparation, as well as attend PTA events
  • Attend board meetings as scheduled by PTA President

Responsible to: PTA President

Length of Appointment: Per GBE PTA Bylaws, all officers shall serve a term of one (1) year or until their successors are elected.

Time Commitment: Varies; 1 hour every month to attend PTA meetings; 1 hour every month to prepare for PTA meetings; additional time during the months of September & October primarily for membership responsibilities; 3-4 hours monthly for PTA events.

Qualifications: Helpful but not required. Basic knowledge of computer and data entry. Pleasant manner, patience, problem-solving ability, dependability.

Support: Training for this position will be provided. In addition, the previous Secretary will be available for questions and assistance.

Dress Code: Casual and in keeping with School Administration requirements for students when on site.

PTA Treasurer

Position Title: Treasurer

Purpose: Control all financial documentation. Relationships with the bank.

Responsible to: PTA President

Location: Home, School, Bank

  • Have custody of all funds and finances of the local PTA/PTSA.
  • Keep a full and accurate account of receipts and expenditures.
  • Make disbursements as authorized by the president, executive board, or general membership in accordance with the budget adopted by the general membership.
  • Have checks or vouchers signed by two (2) officers, preferably the treasurer and the president.
  • Present a written financial statement at every meeting of the local PTA/PTSA and at other times when requested by the executive board.
  • Prepare an annual financial report at the close of the fiscal year.
  • Have the accounts examined according to the auditing procedures.
  • Submit a copy of the fiscal year-end audit report to the Virginia PTA state office within fifteen(15) days following the adoption of the audit by the membership.
  • Submit a 990N, 990EZ, or 990 form per IRS regulations. A copy of this form shall be sent to the Virginia PTA state office within fifteen (15) days of filing.
  • Remit by November 1 to the Virginia PTA state office, Virginia PTA, and National PTA dues for membership received prior to November 1. Remit by December 1, dues received after November 1. Remit by March 1, dues received after December 1. Remit by June 30, all Virginia PTA and National PTA dues received after March 1.
  • Perform other delegated duties as assigned.

Length of Appointment: Per GBEPTA Bylaws, all officers shall serve a term of one (1) year or until their successors are elected. A Maximum of two (2) years may be served.

Time Commitment: 1-2 hours a week, not including travel time to bank; PTA Board meetings.

Qualifications: Helpful but not required. Basic knowledge of computer and data entry. Pleasant manner, patience, problem-solving ability, dependability.

Support: Training for this position will be provided. In addition, the previous Treasurer will be available for questions and assistance.

PTA VP

Position Title: Vice President

Purpose: The vice president may be called upon at any time to temporarily assume the place of the president. Therefore, he or she should study the president’s duties and responsibilities and be familiar with the work of the PTA. In the event of the president’s resignation, the vice president assumes all duties until the president’s position is filled in accordance with the bylaws.

Responsible to: PTA President

Location: Varies based upon task at hand.

Key Responsibilities:

  • Performing specific duties as provided for in the bylaws;
  • Assuming responsibility for duties designated by the president;
  • Acting as aide to the President; and
  • Representing the president in his or her absence or upon request.

Current Designated Duties:

  • Social media posting of PTA events, activities, etc.
  • Drafting PTA’s portion of GBE’s weekly News You Choose (aka Happenings) emails.
  • Creating PTA’s page for GBE’s monthly Greenline.
  • Development and management of PTA marketing plan.
  • PTA website updates and general management, as time allows.

Length of Appointment: Per GBE PTA Bylaws, all officers shall serve a term of one (1) year or until their successors are elected. A Maximum of two (2) years may be served consecutively, not to exceed 4 total years.

Time Commitment: Varies; 1-3 hours weekly for social media and web posting.

Qualifications: Helpful but not required. Basic knowledge of computer and data entry. Pleasant manner, patience, problem-solving ability, dependability.

Support: Training for this position will be provided. In addition, the previous Vice President will be available for questions and assistance.

Dress Code: Casual and in keeping with School Administration requirements for students when on site.
