Dear VHA Team,
We are excited to officially be known as VHA Office of Integrated Veteran Care (IVC)! As we’ve talked about in the past, the Office of Veterans Access to Care (OVAC) and Office of Community Care (OCC) have joined together as IVC to streamline integrated care access for Veterans. In addition, some operations led by the former OCC organization, such as revenue operations and community care claims processing, are being realigned to the VHA Office of Finance.
Within the new IVC organization, there will be four main functions as noted below. These are currently led by an acting leadership team during the IVC transition until permanent leaders are selected.

Integrated Access. This team will guide VHA’s processes, roles, and practices to provide Veterans with care access through VA and community facilities.

Integrated Field Operations. This team will work with program office and field staff to optimize Veteran care access through VA and community facilities.

Integrated External Networks. This team will administer contracts and networks for Veteran and beneficiary care in the community.

Integrated Informatics and Analytics. This team will provide the tools needed for data-driven decisions on access investments and partnerships.

HealthShare Referral Manager (HSRM) Release 16.0, deployed on April 25, 2022, features valuable system updates to enhance users’ experience. New features include the following:

Caregiver Program Status and Caregiver details from CTB/CPRS. HSRM users can view the caregiver name and contact information, also available on the offline referral form.

COMPACT Act Eligibility. Eligibility will be viewable on the eligibility screen. Use of this eligibility is not available until regulations are published.

Automate Category of Cost Estimate Data. Automates updates to the category of cost estimate table in HSRM.

Remove Electronic RFS Tasks. Removes four tasks from the tasking dropdown until the electronic RFS form is reinstated.

Enhanced Emailed Reports. Email is sent to end-user when an email report is requested. In addition, duplicate reports are aborted when the original request is running, and the user will receive a message that the report is being aborted.

New Searches. Community groups searches for referrals will include patient's name and DOB fields.

Alphabetization of the Report List. Report menu items will appear in alphabetical order.

IVC recently released off-cycle updates for seven Standardized Episodes of Care (SEOCs) for use as of April 18, 2022.
Dental Advanced Specialty Care Prosthodontics, Dental Definitive Phase, Dental Disease Management Phase and Dental Implant Placement Phase have coding updates not included with the Group 18 release including removal of the codes related to the sleep apnea appliance (Oral Appliance or Mandibular Repositioning Device SEOC should be used for this device).
The Genetics Counseling and Genetics Testing SEOCs have been restored from the previous versions to allow for separate genetic counseling and genetic testing. These two SEOCs are in addition to the already released Genetics SEOC which allows for both counseling and testing.
In addition, there is updated language to the Treatment Resistant Depression SEOC regarding drug safety and administration requirements for esketamine and ketamine.

Provider Profile Management System (PPMS) Release 15.1 allows users to identify specific providers within a community health care system. Features and functions include:
- Users can edit a community care network owned, deactivated DEA number and the Taxpayer ID.
- Removes duplicated DEA and Taxpayer IDs from profiles.
- Users can view the notes entered in PPMS.
- A new header on the navigation grid labeled, “My Work” will be available to all users and include links to the dashboard, activities, and notes.
- Community provider core training can be ingested into PPMS.
- Provider locator updates. Users can see the community provider core training designation.

ECR Tool Replaces Emergency Care Authorization Tool
On April 6, 2022, VA’s Emergency Care Reporting (ECR) admin tool replaced the Emergency Care Authorization Tool (ECAT).
Users no longer intake notifications in ECAT, but preloaded information is available for action until the notification is closed. New notifications only present in the ECR admin tool.
Training is available to ensure users are familiar with the ECR admin tool’s functionality.

Informatics and Data Analytics (IDA) Reporting provides an overview of IDA reporting that enables users to visualize various data using Microsoft’s business intelligence (BI) solution, Power BI. The course focuses on basic navigation and functions to prepare users to access Community Care program and operational IDA reports efficiently. (TMS ID VA 4570530)
Consults vs Referrals: Understand the difference between consults and referrals and learn roles and responsibilities of staff, identify tools used in the process, and receive a high-level overview of steps involved. (TMS ID VA 4550511)
Veterans Care Agreements (VCA) 101 provides an overview of the Veterans Care Agreement (VCA) process for facility community care staff. Users learn how a VCA works, the steps required to determine if a VCA is necessary, and how to enter into these agreements. (TMS ID VA 38480)
