Updated Customer Access Form 

We have updated the Customer Access Form PDF on the external OASIS site. The updated form addresses a previous issue where the editable PDF would become locked and the Customer Internal Authorizing Official (CIAO) was unable to digitally sign the form. The updates are seamless, so customer users should not notice a difference except for a better user experience!

Annual Recertification 

All OASIS users, including Ordering Officials and Non-Approvers, must be recertified as active users by their agency’s CIAO in order to maintain system access. This recertification occurs at the same time for all OASIS users, regardless of when an account was initially configured. The FY25 OASIS recertification period will be February 24 through March 14. More information and instructions will be shared closer to the recertification period. 

 

Training Tidbit: Where Are My Drawings? 

New Federal OAs in OASIS contain assignment drawings, which can be found in the ”Notes and Documents” tab of the OA. For OAs created prior to OASIS, or OAs that migrated to OASIS, drawings were not attached directly in the OA and are therefore not available at this time. OASIS does not store or provide leased drawings.

Training Tidbit

Customers can also review scenario plans created for your agency in owned space. These are optional designs the region did with agency representations for future space in new or existing OAs. Scenario Plans include space being released or expanded, entire floor renovations, and project planning for brand new space. This quick 4 minute video shows you how to access any scenario plans done since OASIS went live, or you can refer to the Customer User Guide starting on Page 57.

Because project planning communication with the GSA project team is still expected to take place outside of OASIS, the selection of the scenario plan/design option also happens outside of OASIS.

 

Pricing Particulars: What Are The Release Of Space Requirements? 

GSA requires release of space notices to be submitted through the PBS OASIS system, and Customers must coordinate with their agency’s OASIS Ordering Official to submit notice. Agencies have the right to release space to PBS when all of the following conditions are met:

  1. There is no longer a need for the space 
  2. The space is in marketable blocks
  3. The space is not designated as non-cancelable in the customer agency OA*
  4.  If the space is a lease occupancy, the customer agency is at least 16 months into its OA term

*An agency may provide notice to GSA that they would like to release non-cancellable space and GSA will explore whether there is a suitable backfill or if they can negotiate a lease termination. The agency cannot release the space until another tenant is found or a lease termination is executed.

 

Planned OASIS Outages:

  • January 16: Due to monthly billing activities, OASIS will be offline January 16. Billing will run overnight on January 15, so the system will be locked down starting at 7:30 PM EST January 15 until approximately 3:00 PM EST on January 16. 
  • January 24: Due to monthly maintenance, there will be a planned production outage starting at 7:30 PM EST on January 24.  OASIS will be offline starting at this time, and is estimated to be back online January 25 at 10:00 AM EST,  however durations can vary. During this maintenance window, there is typically a reboot of the server required. To avoid any potential loss of work when the environment is taken off-line, users should be logged off the system throughout the maintenance window.

 

Updated Newsletter Frequency

OASIS debuted 18 months ago and this OASIS Bulletin was developed in March 2024. After publishing twice a month, then once a month, we will now be producing future OASIS Bulletins on a quarterly basis. When necessary - if there are major system improvements or outages, or user access concerns - we will send all OASIS users a special bulletin with the pertinent information.
