Keeping Grant Authorized Representative and Project Director Contact Information Current

Dear Colleagues,

The Corporation for National and Community Service considers the persons identified as the Authorized Representative (AR) and the Project Director (PD) on a funded grant application to be the correct individuals to contact on all grant related matters for a program.  In fact, without manual intervention, eGrants will only send official grant correspondence to these two individuals.

It is essential that you keep your AR and PD designations accurate to ensure your organization receives eGrants messages regarding your grant.  When an AR or PD changes for a CNCS-funded grant program, within three business days you must take the following steps:

  • Change the Authorized Representative.  This must be done by amending the grant; contact your Grants Officer to initiate a "Change Authorized Representative" type of grant amendment.
  • Change the Project Director.  This is done by opening the most current funded grant application in eGrants and changing (overwriting and saving) the former PD's information with the new PD's information.
  • If an employee leaves your organization, the organization's eGrants system administrator must deactivate his/her eGrants account immediately.  If the deactivated individual was an AR or PD, the grantee's eGrants system administrator must ensure that appropriate project staff are notified to take action to designate a new AR or PD immediately. 

Remember, failing to identify replacement ARs and PDs as soon as possible leaves your organization at risk of not receiving important grant-related communications from CNCS.
