Latest schools update from Shropshire Council ICT services

Welcome to the latest edition of our ICT update for schools. In this issue:


Remote Learning

Due to the current circumstances, we are aware that lots of you are carrying out your daily jobs from home. Whether your school wants to deliver live lessons, share work, hold a staff meeting, meet with parents or external agencies or just check in on your pupils, we are currently offering free training and support to help schools get off the ground and start using these technologies. Please see the following articles in the newsletter for ideas of potential tools/software to help your school get the most out of online learning.

We have already worked with a number of schools across the county to help to set these sites up and are more than happy to support all Shropshire schools in moving forward with these technologies.

Microsoft Teams

Microsoft Teams is part of the O365 platform and is free to use for schools. If you have a Microsoft email, then you will already have access to this platform. You can set-up a Teams site for your pupils or your staff. With Teams, you are able to integrate the other Microsoft applications to produce collaborative outcomes. Teams has an assignments function for setting work whether that is:

  • A quiz to asses learning using MS Forms;
  • Uploading a PowerPoint or Word document;
  • Adding a video that you have recorded or directing the pupils to an online resource via the video link.

It also has a meeting function that allows you to start a meeting with colleagues or pupils and share documents with them so that you can collaborate as a class or team. Microsoft are working hard in the current climate to enable as many new features that will improve the user experience of Teams. This includes

  • Viewing up to 9 people at once
  • A hands-up feature to allow pupils and staff to indicate they have a question
  • Background blur to prevent people being distracted by what is going on behind you
  • The ability to add contacts and contact groups from your address book into a Teams meeting invite

SeeSaw

Seesaw Logo

Although Seesaw is not part of the Microsoft platform, it has been present in education settings for years and is one of the apps that Apple for education promote. Seesaw has a free set-up and a paid for set-up. Most schools are able to use the free set-up and have been able to do everything that they have wanted to do with it. But some schools really like some of the premium features and decide to upgrade to this: https://help.seesaw.me/hc/en-us/articles/211211043-What-is-Seesaw-Plus- Seesaw allows pupils to login via a QR code instead of an email which proves really popular with teachers of younger classes.

You are able to upload documents, photos and videos while also being able to set activities for your pupils to complete. With Seesaw, it is always worth while keeping an eye on their Facebook page as they often advertise some fantastic freebies on there. At the moment, they are offering an extra month on the premium subscription for free so for schools, who are using this feature, it is worth keeping an eye on their page.ck to edit this placeholder text.


Zoom

Zoom is another free online platform that lots of organisations are using during these times to work together as teams. However, Zoom is a platform that comes with a considerable number of risks and if your school is considering its options moving forward or already uses Zoom you may want to read this:

Zoom have quietly rewritten their privacy policy and it seems they have a close relationship with advertisers and appeared to be able to monitor all the meetings going through their services and sell the data onto 3rd party’s.

Zooms default settings are not security focused and can lead to breaches and other security issues. Things that are enabled by default when creating a meeting including Screen Sharing is switched on for all participants. Zoom Bombing is a risk; a waiting room is not enabled meaning participants can join a meeting without being vetted first and there have been incidents of this leading to some very personal and inappropriate images being shared.
Finally, file sharing is enabled by default on all meetings which increases risks of malware being spread.

Zoom have vowed to resolve these issues and have released articles stating that they have resolved this. However, a more recent incident (May 6th) states that an American church group was also subjected to inappropriate images whilst holding a prayer group.

SIMS Update Summer Term 2020

As you are no doubt aware due to the ongoing Covid19 pandemic it has been anything but business as usual for schools.

With all this going on we would like to take the opportunity to remind those schools with SIMS Support from Shropshire ICT that we continue to be there to support them with SIMS and our helpdesk remains open as usual with staff currently working from home.

What’s new in the Spring 2020 Release of SIMS version 7.192?

Registration Certificate - Personal Details
Reports | Attendance | Individual Pupil Reports | Registration Certificate Report

To help avoid accidentally sending personal details where it is not intended, the option for the inclusion of the Personal Details section of the report is now more prominent and the default is set to No.
When the print option is selected, a popup enables the choice of including or excluding the Personal Details section.

The check box previously used for this purpose has been removed from the Registration Certificate Report browser.

Importing Pupil/Student Email Addresses and Telephone Numbers

Routines | Data In | Pupil Data | Import From Spreadsheet

School Administrators can now import pupil/student personal email addresses and telephone numbers from a spreadsheet.

SIMS End of year procedures and visits

It’s getting to that the time of year when schools usually start contacting us to book an on site visit with a member of the SIMS Team to help with carrying out end of year procedures.

We would just like to take this opportunity to advise customers we are able to offer bookable sessions with members of the team to support you with carrying out end of year procedures remotely if we are unable to visit the school in person.

We will review the situation on an ongoing basis inline with government advice. We highly recommend giving us as much notice as possible if you would like to book in a session for support with EOY so we can best meet your requirements.

Reminder

All schools subscribing to SIMS support with Shropshire ICT have 3 hours a term they can use for SIMS training or Support training or support as required in addition to the usual helpdesk support.

Schools Technicians

During the lockdown period our technicians are doing their bit to prevent the spread of the virus and working from home.

Given the current circumstances we have not yet scheduled in your visits for this year. However, once schools have re-opened we will arrange these visits and you will be sent a visit schedule.

In the meantime, if you have any ICT issues you can continue to log calls via our Service Desk on 01743 254230, or email ict.support@shropshire.gov.uk. If we are unable to resolve your issue over the phone, we can arrange for a technician to attend site.

WAN Update

Due the current situation, the roll-out of the WAN has had to be put on hold temporarily. However, this will not affect you or the service that you are currently paying for. While we await the current restrictions to be lifted or lessened, you will continue with your contract as it currently stands and we will notify you as soon as we are able to restart the implementation of the new connections.

End of school year

Shropshire ICT understand that at present with everything that is going on, the end of term is a distant thought in your mind. But we also understand that for schools, things cannot just come to a halt and lots of your have been filling vacant posts for the next academic year.

Please let us know about any new staff starting and anyone who is leaving you. As well as anyone you are promoting that may need different access next for the academic year. If you send these details in via ict.support@shropshire.gov.uk and include the starting/leaving date of the member of staff, then we can work on actioning these for you for the start of the new term.

SIMS Hints and Tips

Did you know SIMS has its own internal messaging facility as standard?

If you need to send a quick message to a teacher from the office or vice versa then go to Focus| Alerts| General Messages and choose a recipient to send a message to. You can also use it to send an emergency alert and some other functions such as setting reminders.

You can also setup your Homepage to view your SIMS messages Inbox.
