The headcount task will be available on the Provider Portal from Monday, 3 November 2025.

To avoid late submissions, please ensure your login details are working. For password issues, contact the Synergy Support Team at: synergysupport@portsmouthcc.gov.uk

Submission Deadline: Midnight on Monday, 10 November 2025


Important Reminders

  • Parents must have completed and signed the parental declaration form before children are added to the headcount task.
  • Complete an eligibility check on the working families code to ensure compatibility with Spring term dates. New claims must not fall within the Grace Period.
  • Remind parents to renew their codes if the end date has passed or is due to expire within the next three weeks.
  • Tick the ‘Present During Census’ box for all children being claimed for.
  • Tick the ‘Attends for 2 days or more’ box to claim more than 20 hours per week.
  • In the 'Census Information' section, please indicate the total number of weeks the child is expected to receive funded hours during the year - for example, 38 weeks for term-time attendance or 51 weeks for year-round provision.
  • Only split 2-year-old funding if the child qualifies for both the Working Families Entitlement and Families Receiving Additional Support (FRAS). If eligible only for the Working Families Entitlement, claim all hours as expanded hours and leave the funded hours.
  • After submission, check your headcount again for any rejected claims. Rejection reasons can be found on the Summary Tab of the child’s headcount record.
  • Children who start after the submission deadline can still be claimed via the Adjustment Period 1 Headcount Task, issued in January 2026.
