 What: we have made changes to the submission and approval process for bespoke sponsor GDPR language

When: from Tuesday 1 April 2025
From 1 April, the way in which you submit GDPR wording with your research is changing.
In October 2024, we told you about a new GDPR transparency wording template we had developed for all sponsors, and the beginning of a transition period during which you should begin using this new wording.
This period is coming to an end and you are expected to use the new GDPR wording in your IRAS submissions from 1 April.
What's changing?
The current GDPR review service we offer via commercial.gdprreviews@hra.nhs.uk will end on 1 April.
All sponsors will now be expected to use the new GDPR transparency wording template for any new research applications submitted via IRAS.
A Study Wide Reviewer will then assess the GDPR wording alongside the main research application.
A separate approval letter for the GDPR wording will still be issued (once accepted), and recorded on our database as valid for all future submissions from the same sponsor.
Why is this changing?
We have updated our GDPR transparency wording template to bring it in line with our Participant Information Quality Standards and the four principles for meaningful involvement of patients and the public in health and social care research.
We’ve made these changes to help you to make sure that research participants have all the information they need to make an informed decision about the use of their data.
The changes to the template include more detailed information on how data is handled when it is sent abroad, as this is considered more important by members of the public than it was in 2018, and more detailed information on data subjects’ rights when their data is used in research.
