Over the last few months, we’ve been working to refresh and standardise how EMIS is used across all LCO services.
As part of this work, we’ve looked at streamlining a number of the current processes, including those relating to actualising or outcoming an appointment and the management of DNA (did not attend) and cancelled contacts. We’ve also consulted with your EMIS Champions to ensure that the changes we make are right for you going forward. A special thanks to them for their input.
Please now take some time to review the changes that will be effective from Monday 1 May 2023. Should you require any additional information or have any questions, please liaise with your EMIS Champion for your area.
Changes within EMIS
Consultation Types (grey properties page)
The number of options for consultation types is to be reduced. This is to simplify the process used for actualising or outcoming contacts within EMIS. Within this list [PDF, 179KB] you can find a high-level overview of the options that will be available for both reportable and non-reportable contacts.
Cancelled Contacts and DNA’s
After reviewing how we’ve been recording cancelled contacts or contacts (where a patient did not attend an appointment or a staff member was unable to gain access), we found there was an inconsistent approach. Therefore, you should now:

For all DNA, make a record. This includes a record for whether the patient did not attend their pre-planned appointment, or you were unable to gain access to their property to complete your home visit. To do this, when actualising or outcoming an appointment, please choose either patient visited and not seen or use the N short cut to launch the patient record. You’ll need to choose the Did Not Attend option on the grey properties screen and complete the appropriate Failed Encounter template or Unsuccessful Contact template for your service.

For Cancelled Contacts (where a patient or proxy cancels a planned contact, the appointment will need to be cancelled out of the daily diary or clinic appointment book) an appropriate Failed Encounter template should be completed, taking safeguarding principles into account. Please ensure the reason for the cancellation is recorded and the person who cancelled the contact, i.e., patient or parent or carer, is identifiable. Where a failed encounter template is completed for cancelled contacts, please use the Other Note option on the grey properties screen.
