Therapies Staff Survey, Innovation and Efficiency update

Thank you to all of those you joined the 3 interactive sessions to discuss the recent Therapies Staff Survey results and how they connect to the Innovation & Efficiency project. Your input was crucial and we have now identified our top 3 Quality Improvement initial projects across inpatient and outpatient (Fig. 1)

What we discussed:

Learn key insights from the staff survey and how they inform the next steps.
Collaborate with colleagues on forming project teams.
Work together to reduce duplication and free up valuable clinical time.

What we agreed:

3 Therapies QI Projects will be undertaken, with a clear governance structure to support their progresses and the QI team to provide coaching support (Fig. 2).
Dedicated Outpatient sessions will be advertised in the next few weeks to deep dive the work on waiting lists management.

The opportunity

For you – The opportunity to develop project management and QI skills. If you are part of the project groups you will also have the opportunity to undertake certified quality improvement training.

For the Care Group – The projects aim to improve the experience of all within the Care Group by addressing issues highlighted within the staff survey specifically related to assisting with conflicting demands.

For the Trust – The projects will reduce duplication therefore improving productivity and efficiency.

Quick wins in action

A total of 39 quick wins, that were identified through the 8 Waste Workshops, have being implemented by the Therapies team from the ideas identified by the attendees.

The following are just 5 examples of some of the quick wins already implemented by a few members of the therapies team so far.

Quick Win 1: Access visits and issues with hoist works as well as collaboration.

Therapy Lead: Donna Cook

Update: Working party dispatched to review the guidance which will shortly be received through OT clinical governance. Teams made aware that hoist follow up visits should be completed by telephone/virtual follow up and do not need to be administered for every patient. If a visit is needed due to a risk and the community team is unable to complete it, we will follow through with the visit if clinical reasoning is present and discussed with a band 7 or 8 to increase clinical capacity and reduce taxi usage.

Quick Win 2: Issue with time taken to complete @Home referrals by phone.

Therapy Lead: Brian Simelane

Update: Brian attended a meeting with @Home Lead on 26/04/24. Brian Simelane requested a review of the referral form used by @Home to triage referrals given EPIC is now in place and most of the information can be accessed in the system and the need for efficiency and effective use of resources.

@Home to review and liaise with their team for consistency. An audit started at KCH to monitor time spent by our staff on @Home referrals- this 3-month review will be completed by the end of July.

Quick Win 3: Internal flow hub to stop declining Transfer of Care Passports as it is wasting time for staff to redo them.

Therapy Lead: Brian Simelane

Update: TOCP declines have reduced in the past few weeks/months. Regular audits are being completed by the IFH and discussed in the Flow and Discharge steering group being attended by Brian Simelane every other week. Brian will continue to monitor this and liaise with the IFH as appropriate.

Quick Win 4: Station held in the main inpatient department on the 4th floor Hambleden Wing. It takes a lot of time to walk from the Willowfield outpatient building. There is not a stationary store in the Willowfield outpatient building

Therapy Lead: Vicki Rowe

Update: Stationary is now available in Willowfield and Team are aware of process to reorder. Admin will monitor and maintain stock levels.

Quick Win 5: Access to theatre list needed to avoid missing patients with therapy needs.

Therapy Lead: Louise Duffell

Update: Access now obtained to Galaxy List.

Dietetics Innovation and Efficiency Workshops

The Dietetic Team has embarked on a series of Innovation and Efficiency Improvement workshops, started at PRUH last June 4th and finished on 13th June at Denmark Hill.

AIM: Identify any areas of the dietetic service where implementing change could improve patient experience & outcomes, whilst also improving efficiency and the working experience of our people to deliver excellent patient care.

We are excited to welcome Niamh Hennessy as our new Trustwide Head of Nutrition & Dietetics. Niamh has already made a significant impact by organising and leading this workshops series of improvement workshops as key listening and engaging events for our dietetic teams.

“The team has engaged well with the workshops and currently we have ~80% of the team joining the workshops. Additionally, there is an even spread across the four dedicated workshops held both at PRUH & Denmark Hill sites.

Thanks to our Patient Experience and Quality Improvement teams we have invited 2 patient representatives to attend each of the 4 sessions. In preparation for our workshops, our Dietetic leads have worked with their perspective teams to start thinking about areas of our service where we could use our resources more efficiently. Staff have been collecting data where able to support some of their change ideas. All dieticians have been challenged to come to the workshops with an open mind, willing to embrace change and looking at things with a “can do” attitude, ready to challenge each other in a respectful and professional manner.
