Please note that the national booking system for vaccinations opened this week, as detailed in the campaign reminder in this issue.
This week’s issue contains more training opportunities which start imminently, so please make sure you take advantage of any that are relevant to you.
We do our best to keep the content and structure of our PEN website up-to-date in these fast-changing times and your suggestions on how to improve the website are always welcome.
Change to DCC emails to providers, please check your mailboxes
Please note that Devon County Council has started using the same 'Gov Delivery' system that is used for this newsletter to send out provider forum invites as well as other important messages to the market. As this is a collective email distribution, these messages may go to your junk mail folders so please check there. We are letting you know so that you don't miss any updates and are aware what to look out for when we are sending it this way. Any communication sent from Gov Delivery will come from an email address with the ending @public.govdelivery.com and have Devon County Council in the subject line.

Autumn/Winter Vaccination Campaign reminder: National Booking System now open
Following the announcement of the new Omicron BA 2.86 variant of COVID-19 it has been agreed to bring the vaccination programme forward, and to accelerate delivery of the programme to vaccinate eligible people sooner than previously announced.
Vaccination teams will contact Care Homes to arrange visits and where possible will co-administer the Flu vaccine.
Vaccination teams will also offer vaccinations to Care Home staff but are unable to provide Flu vaccinations if their employer has an occupational health scheme.
Due to the very short timeframe to deliver vaccinations it may not always be possible to offer flexibility in when vaccinators are able to visit settings, therefore please can we ask that you work with the vaccination teams and accommodate requests wherever possible to visit your setting, it would also be beneficial to provide the teams with up-to-date patient list for ease.
The Capacity Tracker has now had additional fields added to include Covid and Flu vaccines, please can we kindly ask, where visits have been complete that the tracker is updated to reflect numbers vaccinated.
Please note that this week the National Booking System is open allowing those eligible to book a appointment
If there are any queries relating to the vaccine, including hesitancy please email d-icb.devonvaccinationsupport@nhs.net or call 01752 398836
For further information please refer to - Flu and Covid autumn vaccine programmes brought forward
Many thanks in advance for your continued support.
DCC Care Homes Remittance Advice changes: End of October deadline to create shared mailboxes and complete form
Devon County Council is working to establish a process whereby all remittance breakdowns are emailed to Care Home providers in the future, this requires changes to our ICT systems.
This will mean that a full breakdown can be provided at an earlier stage via email, reducing demand/workload on your finance teams.
Please note:
- For this new process to work all providers who require a remittance breakdown are required to set up a shared mailbox that is restricted to those people who manage the remittances only
Devon County Council will send remittance information (including breakdowns) to this mailbox only in future and not to any other email address. For GDPR purposes we need to ensure all personal data is managed appropriately.
- Where possible, we will require shared mailboxes which start with the following; accounts@, remittances@, finance@. It is important that more than one individual can access the information, but not too many people (see 1 Above). Therefore, we advise that emails with individuals names are not provided unless you can confirm that more than one person who manage the remittances can access the account.
- On receipt of an emailed remittance, providers who do not already use Egress for secure email, will need to create a free Egress account to retrieve their remittance advice. This is necessary to ensure compliance with our information security obligations under data protection laws.
Thank you to those who have already provided a shared mailbox. We have set up over 50 care homes already to receive emails. It can be set up quickly and will save you lots of time.
ACTION REQUIRED: Please supply a remittance mailbox to Devon County Council by the end of October 2023
Please complete this short form once you have a shared mailbox set up for remittance advice. Once we receive this information will contact you once we are able to set up the automated emails with your remittance breakdowns.
If you have any queries please email socialcarebusinessrelations-mailbox@devon.gov.uk
