We are continuing to receive a number of queries from both providers and parents following the publication of the Department for Education (DfE’s) updated Statutory Guidance (April 2025).
Please see the video link below created by Childcare Works which provides clarity around charging, invoicing and consumables. We hope you will find it helpful.
Invoicing, Consumables, and Charging Structures - childcareworks.org.uk
The provider portal opened on 20 May 2025 and will remain open until 03 June 2025 for the submission of June 2025 actuals.
APRIL / MAY ADJUSTMENTS
The provider portal will also be open from 20 May – 03 June 2025 for the submission of April / May 2025 Adjustments.
Please ensure data is submitted accurately on to the system and all children’s hours are included.
Please allow yourself plenty of time to input your information and do not leave it until the last minute, in case you encounter any problems.
It was recognised that a number of providers failed to submit their April / May actuals. Please be reminded of the importance of submitting accurate funding claims by the given deadlines dates as outlined on the Funding Calendar. Financial Services are not able to make bespoke payments where submissions have been missed.
Regular reminder e-mails will continue to be distributed to all contracted providers.
We are continuing to receive claims for DAF that don’t include the refence number. Please be reminded when applying for DAF, to include the 9-digit reference number (displayed on top of the child’s DLA letter), on the child’s ‘Notes’ tab. This is to evidence eligibility for this additional funding - ‘No reference number, no payment’.
The reference number should also be included on the parents’ FE1 form.
DAF is payable as a lump sum once a year, per eligible child. Children do not have to take up the full 570 hours of early education to receive Disability Access Funding.
To help with the submission of data on to the provider portal, providers are reminded to utilise the support and guidance available on the tile, using the following link: SchoolsNet - Funding and contracts
NEW STRETCHED GUIDANCE
A new document titled “Stretched Claiming Guidance” has been published on the SchoolsNet - Funding and contracts tile. As we move towards the end of the summer term, this document will offer assistance with understanding and calculating a stretched delivery model for the upcoming academic year (2025/2026). Please be reminded that all funding claims should be submitted as term time hours on the provider portal.
Providers are able to keep their information up to date by using the ‘Forms’ tab via the provider portal. Choose the ‘V2 Full Update – Ofsted registered childcare provider’ form and complete. This data is used to populate the Families Information Service website, which offers a childcare search facility for prospective parents wishing to find childcare in their local area.
All Derbyshire childcare settings have an opportunity to advertise their business using this free marketing tool, enabling the setting details to be included in the search results.
In order for your setting’s details to be visible to parents completing a childcare search, you will need to ensure you have given consent for the details to be made public.
- Once loaded, you do not need to change any of the information on the first page of the form, just select ‘Declaration / Consent’ from the drop-down box at the bottom of the screen and click next page.
- Ensure the top two declaration boxes are ticked and enter your name and date (see the screenshot below) and submit the form.
- Once your form has been submitted, the Families Information Service will add your details to the public list and your setting details will become visible when parents / carers search for childcare in your area via the FIS childcare search.
Please refer to point 2.13 of your signed Provider Agreement for the delivery of the early year’s entitlement funding, which states:
2.13 The provider must update the details held by the Families Information Service (FIS) termly, via the ‘Forms’ section on the Provider Portal to ensure they are current and up to date.
It is important that all providers complete the V2 full update at least once a term, even when the information has not changed.
