A number of providers missed submitting their funding data onto the provider portal for September/ October ‘actuals’ when the portal was open from Monday 04 September – Sunday 17 September 2023.
Providers are reminded of the importance of submitting data accurately and within the timescales detailed on the funding calendar.
Please allow yourself plenty of time to input your information and do not leave it until the last minute in case you encounter any problems.
For information on the opening and closing dates of the provider portal, please download the 2023-2024 funding calendar, accessible via the following link - SchoolsNet - Funding and contracts.
Please be reminded that the portal will be open until Sunday 29 October 2023 for the submission of the November 2023 Actuals data.
Once all the information has been submitted, please remember to click ‘Send Claim’. You will see a green tick, and an icon indicating ‘Submission Successful’ when your claim has been submitted.
Important: If information is not submitted by this deadline, you will not receive your funding during the normal payment timescale. Financial Services are not able to make bespoke payments where submissions have been missed.

What’s changing:
The provider portal passwords used to access your account and submit funding claims will be increased from 8 to 12 characters. In addition, we are also now going to remove any accounts that have not been accessed in the last 12 months.
Accounts can be requested again via info.fis@derbyshire.gov.uk.
Why:
This is to bring the provider portal user accounts in-line with the Council’s Information Governance policy.
Why not add your logo to the online childcare search?
We are now able to add a logo for your setting to the search result on the search for childcare website. If you do not have a logo then an image of how your setting is arranged to welcome and care for children could be added. Please send your logos to info.fis@derbyshire.gov.uk and these will be added to enhance your profile on the search for childcare website.
We have recently received queries from childminders regarding bank accounts for their childminding business. Please be reminded that all childminders, contracted to deliver the early years entitlement funding, must have a separate bank account from their personal account for their childminding business. This will help childminders to have a clearer picture of their income and expenditure and assist with the HMRC returns.
Please note: this does not need to be a business account.
Please refer to your signed Provider Agreement for the delivery of the early years entitlement funding, which states:
1.9 All Childminders whether registered with a childminder agency or contracted individually with the local authority to deliver the early entitlement funding, must have a separate bank account from their personal account for their childminding business. Please note, this does not need to be a business account.
15.3 Funding audits are to assist Providers to develop systems to ensure that:
- All childminders have a separate bank account for their childminding business
Where changes occur within the setting for example, change to the provision name, childminder name, address, telephone number, email address, business structure and changes to committee members and / or manager. Please remember to notify Ofsted and the local authority using the following e-mail addresses as any of these changes may require a new Provider Agreement:

If you are a contracted provider and would like to receive text reminders when the provider portal is open / closed, please ensure you notify us (and Ofsted of course!) of your mobile number.
Where the local authority has received a mobile number from your setting, this will automatically be included in the ‘Texting’ notifications.
Please let us know via email if you wish to be removed from this Service.
