General Updates
The handover of New Shire Hall to Cambridgeshire County Council took place on 1 July and a programme of works commenced to fit out the building with furniture and IT equipment.
The first furniture delivery, which included desks, chairs and the collaboration space units was received shortly after handover and is currently being built and installed.
All furniture for New Shire Hall has been produced by a UK manufacturing company, The Senator Group, based in Blackburn who also have their own recycling unit, Sustain.
Once the furniture is delivered, they take away disused materials and packaging and recycle them to ensure nothing goes to landfill, therefore reducing the impact on the environment. Their purpose-built recycling unit has recycled more than 270,000 items and diverted more that 7.5 million kg of waste from landfill since establishing themselves. This equates to an emission savings of 8,790,798 kg/co2
Desks
Collaboration Space Units
The kitchen facilities have been installed in the tea points.
Each tea point area has a height adjustable sink/counter top, 2 larder full height fridges, 2 full height cupboards - with built in microwaves, one 3 draw unit, 3 low level cupboards, a large work top area and a wall mounted water boiler.

The sliding partitions in the Multi-Function Room have been installed. The room can be used as three separate meeting spaces each holding 30 people or two meeting spaces holding 60 and 30 people, or as one large meeting space holding up to 90 people. These rooms can be booked for general staff meetings when they are not being utilised for Committee meetings, Full Council or Citizenship Ceremonies.

The flooring on the outside balcony is complete. This area will host an array of furniture so that staff can make use of the upstairs outside space. This space is covered and will provide some protection from the elements.

The frosting and coloured strips for the meeting rooms has been applied. As with the print rooms, toilet doors and tea points, the meeting rooms have a specific and consistent colour to support wayfinding for staff.

The car park has been tarmacked and the parking bays have been line marked.

Staff journeys and working days
For all teams moving to New Shire Hall, we are asking each Team Manager to complete the HR Spreadsheet to confirm each team members’ new journey and the number of days they will be working (on average) at New Shire Hall. Guidance is included in the document. We appreciate the date each team will return is currently unknown due to COVID-19 and therefore please leave the date blank for the time being.
HR will be communicating directly with managers in the upcoming weeks, however if you have any questions in the meantime please contact Olivia Russell.

Worker Types
Following the change in approach to our worker types, the Our Ways of Working Policy gives guidance on how to request a formal change to your contract if you are a hybrid worker and want to become a remote worker. Becoming a remote worker gives you the opportunity to formally work remotely for most of your time, with an expectation of coming into your team base between 1-2 days per month. To be considered a remote worker the flexible working application form should be completed and sent to your line manager to review. The different worker types are confirmed in the Our Ways of Working Toolkit

Public Bus Update
We have sent out a new survey to those who wished to receive further updates on the progress of the new bus service between Cambridge and Alconbury Weald. We are currently considering adding Milton Road Park & Ride as an additional stop on this route, and therefore this new survey gives you the opportunity to express an interest in this service. The results from the survey will feed into the procurement exercise which is currently underway.

Site Visits for JMT, DMT and Members
We are arranging visits and tours of New Shire Hall for members of the Joint Management Team, Directorate Management Teams and Councillors.
These will take place on Monday 26 July and there will be 4 tours in total throughout the day.
The tours will be filmed and made available on CamWeb so that everyone has the opportunity to see how New Shire Hall has developed.
Unpacking Storage at New Shire Hall
The majority of teams who have storage moving to New Shire Hall have been contacted and given a date to come to the building to unpack.
Storage will be transported to New Shire Hall at the end of July and the unpacking process will take place over a two-week period starting on 2 August. More information and guidance about unpacking your team storage will be provided to staff coming to New Shire Hall to unpack in the next few days. If your team hasn't been contacted yet, they will be in the coming weeks.

Car Park Booking Tool
There will be a car park booking tool for staff contractually based at New Shire Hall to book up to two spaces a week. We have been working with IT and Property colleagues to ensure that the system is live before New Shire Hall is ready for occupation. Before we can launch the car park booking tool, we need volunteers to test the system. Testing the tool will not require you to travel to New Shire Hall and will take place in early August.
