Volunteers Needed to Review Workforce Ready Grant Applications

The Higher Education Coordinating Commission (HECC) is calling for volunteers to join the Evaluation Review Committee for the second round of Workforce Ready Grant applications. This committee will score eligible applications using criteria established in the Request for Applications (RFA). Scores will inform funding and award decisions for Workforce Ready Grants, Round Two. Evaluation Review Committee members will receive training and written instructions prior to starting the review process.
To volunteer for the Evaluation Review Committee, please begin by considering the following details carefully:

Date Range: Grant applications were due last Friday, June 23, 2023. Volunteers are asked to express their interest in joining the Evaluation Review Committee by Monday, July 10, 2023. Training for the Evaluation Review Committee will happen on the following dates:

Initial Training: 4:00-5:00PM, Monday, July 10, 2023. This meeting will provide evaluators with an overview of Future Ready Oregon, the Workforce Ready Grant opportunity, and the scoring rubric and criteria. The meeting and its materials will be recorded and distributed to evaluators for reference.

Follow-Up Q&A: 4:00-5:00PM, Monday, July 17, 2023. This optional drop-in meeting will allow evaluators the opportunity to discuss any questions they may have during the review and scoring process.

Evaluation Review Deadline: 11:59PM, Monday, July 31, 2023. We ask that evaluators aim to have their reviews submitted by the deadline listed, and to reach out to HECC staff if they anticipate any issues with meeting the deadline.

Time Commitment: Evaluators should estimate a time commitment of 6-10 hours, which includes time to attend training, review applications, and ask follow-up questions. We anticipate evaluators will likely review 12-16 applications. We understand that everyone’s familiarity with reviewing grant applications may differ and as such, may affect the total amount of time needed to complete the review process. Staff will be available to address any questions evaluators may have during the review process.

Training: Training sessions will be conducted via live webinars hosted on Zoom. Please refer to the dates listed above. These sessions will be recorded for reference, as well as for those who are unable to attend. Attendance is not required, but is highly encouraged.

Method: Evaluators will review and score applications in SurveyMonkey Apply. All evaluators will receive log-in credentials on Monday, July 10, 2023. Instructions on how to navigate the SurveyMonkey Apply platform will be provided both as a PDF and during the initial training.

Conflicts of Interest: If your organization, or one you represent (including as a board member), has applied for Workforce Ready Grants, Round Two, please do not join the Evaluation Review Committee. If you are unsure whether a conflict of interest exists, please indicate your affiliation(s) on the volunteer application form so that we may help make a final determination.
