Thank you for your patience during Monday night’s scheduled downtime while we deployed this update.
This release introduces new features, usability enhancements, and critical fixes across the Portal and EDI systems. Here’s a quick overview of what’s included:
Highlights of Minor Release 2.1
EDI Enhancements
- Improved validation logic for Age at First Use to ensure accurate error detection.
- Eliminated duplicate validation errors for date/time fields in EDI v2 segments.
- Added new business rules to display file validation results on the EDI Validation Files Portal page.
Portal Improvements
- Standardized tab alignment and added environment banners in non-production environments.
- New feature: Facility Admins at FTP-enabled agencies can upload EDI certification files and review validation results.
- Mental Health Crisis records now become read-only after submission.
- Client name updates from Portal or EDI v2 submissions now sync automatically to the Client record.

✔️ Access Agreement Required
Make sure your agency has an executed Access Agreement (AA) before submitting a User Request. This helps us process your request quickly and accurately.
Please know that Access Requests typically take 8–10 business days to process. Due to increased volume from new providers entering data into the ROADS Portal, processing times may be slightly longer than usual. We’ll complete your request as soon as we can.
✔️ Confirmation of Processing
After your request has been processed (not immediately after submission), you’ll receive an email from the OIS Service Desk and the ROADS Team. Tip: Check your spam or junk folder just in case.
✔️ Multi-Factor Authentication (MFA) Setup
Configure Multi-Factor Authentication (MFA) before logging in to the ROADS Portal. This step is essential for security and access.

Email the ROADS Inbox at ROADS@odhsoha.oregon.gov for assistance. This ensures your request is logged, tracked, and supported by multiple team members, much faster than phone calls.

Purpose of the Client ID Field The Client ID is a unique identifier used to distinguish individual clients in ROADS. It is typically the number or label assigned to the client’s information within your organization’s record-keeping system. This field is not intended for personal identifiers such as names or dates of birth.
How to Use Client IDs:

Always include a Client ID when completing forms
Tip: Use a randomly generated number, or an identifier your organization already uses such as a sequential number (e.g., 001, 002, 003) or another internal convention.

Avoid personal identifiers
Using names or dates of birth may violate HIPAA requirements and is not recommended.
- Do not use “unknown” or descriptive terms
Each Client ID must be a unique, non-identifiable value. Using words like “unknown” or other descriptive text can cause data integrity issues and is not permitted.
While ROADS has strong security measures, entering personal identifiers in the Client ID field can create unnecessary privacy risks. Following these best practices helps maintain compliance and ensures accurate data handling.
