We're excited to kick off 2024 with a fresh start and a brand new name! Welcome to your all new ROADS Navigator! Formerly known as the MOTS Messenger, we are making updates as we get closer to the launch of the all new ROADS system. Let's dive into the exciting updates for January...
The ROADS Project is still in the fourth phase of development. We've divided the project into four parts, and we're currently in the middle of the last one.
During Development Cycle 4, we're focusing on a few key things:
- Making sure the external provider portal works smoothly
- Fine-tuning Electronic Data Interchange (EDI)
- Fully integrating new elements like Measure 110, Stabilization Services, and Mobile Crisis
- Improving the security roles within the portal
- Refining the business rules
- Enhancing the user interface
Our overall goal remains unchanged – we want to keep our providers informed and involved throughout the project. Since our last discussions, we've been busy with internal technical design work. In the coming months, we'll be ready to showcase a demo of the provider portal. Stay tuned for updates!
We’re offering two webinars to walk you through the Multi-Factor Authentication (MFA) configuration process using the Microsoft Authenticator app: one on January 22nd at 1 pm and another on January 25th at 10 am. What is Multi-Factor Authentication (MFA) and why is it necessary:
MFA is a security measure designed to elevate the protection of sensitive data by verifying a user's identity through multiple authentication methods. This involves combining something you know (like a password) with something you have (like a mobile device). This layered approach significantly reduces the risk of unauthorized access, enhancing overall security.
While not previously required within the MOTS system, the growing importance of cybersecurity has made MFA a mandatory step for all users of state IT systems going forward.
The MFA configuration process may seem daunting initially, but it plays a crucial role in securing providers' data. In the ever-evolving landscape of cybersecurity threats, this additional layer of protection ensures that only authorized individuals can access sensitive information. Once your MFA is configured, you'll be well-prepared for a smooth transition to ROADS upon its launch.
Authentication Methods:
Individual Mobile Device (Our Recommendation): The simplest and smoothest way for providers to authenticate is by using an individual mobile device. Rest assured, no transfer of data or sensitive material will occur; the device is solely used for authentication purposes.
YubiKey Option: For those unable to use MFA on an individually assigned device, we'll provide YubiKeys as a secure alternative. A YubiKey is a physical hardware token that provides an additional layer of authentication. It can be plugged into a USB port, offering a secure means of verifying identity. Additionally, you'll need to download an accompanying app onto the device used for submitting data. If you require a YubiKey or have any questions, please reach out to us at ROADS@odhsoha.oregon.gov.
We would like to take a moment to remind everyone involved with MOTS data: Please DO NOT submit test or other fake clients.
Why? Fake clients are hard to spot in MOTS. Despite indicators like "Test" or "Do Not Use" in name fields or "ZZZ" in the Client ID field, distinguishing them is challenging for MOTS. With over 700,000 Person records, manual checks are not easy. These entries impact data accuracy in aggregate reports, influencing decisions by state and federal organizations, like SAMHSA. Cleaning up data creates additional workload for providers, clinicians, and MOTS Support staff, diverting their attention from more critical tasks.
However, we recognize that there may be occasions when submitting test data or practicing system usage is necessary. We offer solutions for these situations:
- Submit EDI records as "Cert" files. MOTS will validate the data and provide a response file, mimicking real submission processing, without saving any records to the database.
- Utilize the MOTS Training environment for entering Client Entry records. Functioning like the actual Client Entry web portal, its data is stored separately, and we do not include it in report queries.
