SIA Update

SIA Update 

Given many of our applicants and grant recipients are in different stages of the process, the SIA team wanted to offer a few reminders this week: 

If your SIA grant application is incomplete or you are finishing your SIA amended plan/budget, please work with your ESD SIA Liaison or reach out to siainfo@state.or.us for support in completing the process. Your application will move into the review process once ODE receives your completed application or missing application components. Once your application has met application requirements and been approved, you will become eligible to move into the grant agreement process. When the grant agreement has been fully executed, you will be eligible to submit your first claim. SIA grant funds for the 2020-21 school year will be available through June 30, 2021. After this date, grant recipients may request to be considered for an extension through September, 2021. 

If additional information has been requested to meet application requirements, please submit the requested additional information to your Application Manager. Once received that information will be reviewed and your application will move forward in the process if all application requirements are met. If you have any questions regarding the requested changes, you can reach out to your Application Manager for additional information or arrange a call to discuss the requested changes. You can also consult with your ESD SIA Liaison regarding the changes. 

If you’re received your SIA Grant Agreement, please take these three steps

  1. Make the grant agreement available at the main office and post it on your district website and send the link to your Application Manager; 
  2. Allow for public comment on the grant agreement at an open meeting; and 
  3. Share the grant agreement at an open meeting and receive approval by the local school board. You will be required to submit a copy of the board meeting minutes indicating board approval as well as opportunity for public comment. It is acceptable to submit draft minutes to meet this requirement.  

When you’ve completed these three steps, you will need to upload a signed grant agreement and board meeting minutes to Smartsheet. If you have questions about uploading this information, instructions can be found here or you can reach out to your Application Manager. 

If you’ve submitted a signed copy of your grant agreement and board meeting minutes, you will either receive a fully executed copy of your grant agreement via Smartsheet or your Application Manager will be in touch if any information is missing. Once you receive a copy of the fully executed grant agreement, you will need to submit a claim in EGMS for the first 40% of funds, which the SIA team will approve to allow you to receive the first disbursement. You will see the funds loaded into EGMS, but you will not be able to submit a claim against them until you have the fully executed grant agreement.

A: Great question! If you’ve heard from your Application Manager that you were moving into The grant agreement process, you should have received your grant agreement via Smartsheet (automation@app.smartsheet.com). If you have not received an email from this account and checked your junk/spam folder, please reach out to your Application Manager or SIAinfo@state.or.us to receive a copy of the grant agreement.

  • As you may have seen, the Office of Indian Education recently released this Tribal Engagement Toolkit which provides resources for districts, Tribal Leaders, and Tribal Communities. If you’re interested in learning more about tribal consultation, the Office of Indian Education will be hosting a webinar on November 9 from 2:30-3:30pm and you can register here to attend.

  • Ready Schools, Safe Learners Guidance Version 4.0 has been released with updated metrics and guidance for return to in person instruction. 
  • We are now posting on the ODE Website the weekly report from the COVID-19 School Status Tracking Report. If you do not see your school reported on the weekly status report please email odecovid19@ode.state.or.us or check with your district administrator. Updated information on submitting the weekly COVID-19 School Status report will be sent to submitters next week in advance of the weekly update request email. If you have not been receiving updates and believe you should please email odecovid19@ode.state.or.us to be added to the mailing list for the updated submission guidance for the weekly collection.
