MESSAGE FROM THE MANAGER

Private Professional Certification and Licensing Program Manager – Suzy Herring

Greetings,

I want to inform all applicants and entities that staff process paperwork in the order it is received and are working diligently through a high volume of applications. To provide transparency, staff regularly update the program’s website to include the date of receipt they are processing applications or paperwork. Please check the website using the link provided to see the current processing date. Click here

For the programs to maintain an efficient process and to ensure fairness to all applicants, staff will no longer be actively searching for individual submission of an application or paperwork until the current date posted on our website has passed the submission date. The “submission date” is when the application or paperwork was submitted to DPSST.

For example, an application for unarmed certification was dropped off at DPSST on 11/15/2023. When you check the website and see staff processing applications for unarmed certification received on 10/30/2023, staff can only search for the applications or paperwork dropped off on or before 10/30/23. You will need to wait until the website reflects 11/15/23, then you can follow the information in I.R.I.S. and monitor the certification/license process at that time.

Staff, and I appreciate your understanding and cooperation in this matter. Our team is dedicated to processing applications promptly, and staff are balancing large call volumes with the high volume of applications received. Searching for individual submissions of paperwork or applications received before the date staff are currently processing takes staff away from their desk and reduces the amount of time, they are available to answer calls and enter applications or paperwork received.

Our team understands the importance of your paperwork and wants to make the process as smooth as possible for you. Some ways that you can help the program are:

Please submit the application packet in its entirety. You can find application packet requirements on our website or in Oregon Administrative Rules (OAR) 259-060-0025. Applications submitted in multiple parts can take extra time to match up and clear any deficiencies issued. If it cannot be avoided, and you send the application in separate submissions, please include a note with the previous submission date so staff can attempt to match them up. Staff will continue to process deficiencies in the order they are received.

You can now fax or email a new application (when Fieldprint is used for fingerprint submission) and renewal application packets. Submitting the application packet through email or fax will give you an electronic submission date (e.g., the date the email or fax was sent to DPSST) that you can use to track the application or paperwork processing dates posted on our website in conjunction with I.R.I.S.

If mailing the application packet or paperwork, try mailing them certified; this will help you track when staff receives the paperwork, and ability to use this as the submission date that you can track the process of the application in accordance with IRIS.
