AASHTOWare Project (AWP) is now active with select new ODOT contracts! We have subject matter experts who will train you on how to enter your data into the program. Training for technicians is IN-PERSON but can be virtual depending on location. Training is required before you can get access to work in AWP. You may not have a project in AWP today, but it's coming soon!
AWP provides one place where data is entered. It gives that “one source of truth” needed to make sure everyone can access and report on the same data. If you are a technician on an upcoming AWP contract, you will add materials data directly into the program for your project.
If you are working in an ODOT AWP contract and depending on your role(s), you will be responsible for adding details related to testing and sampling. The Materials roles for ODOT or Consultants include:
- CM-Materials Lab Crew Leader
- CM-ODOT Mix Design Review & Approval
- CM-ODOT Sample Tester
- CM-QCCS Quality Control Compliance Specialist
- CM-Region QA Region Quality Assurance
- CM-Receiving Technician

In AWP, Prime contractors and technicians will add important materials data into the system. Depending on your role(s), you'll be responsible for adding details related to testing and sampling. Those roles are:
- CM-Contractor Mix Design Entry
- CM-Contractor Sample Tester
- CM-Lab QC Manager Contractor Lab
Not in an AWP project? Take a moment to complete the Getting Started course at any time before training. It only takes about 15 minutes. It is a pre-requisite for all the computer-based trainings (CBTs) and for all in-person training! (Internal ODOT users have single sign-on access to Workday. External Users need to have a Workday account to view a CBT. You also need your account for any new CBT you take.)

Daily Work Reports (DWRs)
You don't have to enter the generic project data over and over. You can copy a DWR! Go to the Global Actions Menu of the DWR you want to copy and select “Copy”. A new draft DWR will open for you to enter today’s data and keep the generic project details you need.
My Pages
Do you find yourself navigating to a specific page in AASHTOWare day after day? You can create a “My Page” favorite simply by navigating to the page, selecting the down arrow on the My Pages button, then select the “Remember This Page” button.
Anytime you chose My Pages this will show in a new menu of pages you have saved. All done with a favored page? Simply click the row actions menu for this page and select Delete.

How do you get access to AWP for your first project?
New projects are going into AWP, but not all new projects all at once. We have a staggered start to give us time to train people how to use the system. Also, it allows our sys admin team and subject matter experts time to adjust to the new processes to help you.
Once you have Notice of Intent, Primes and their subcontractors must register in OregonBuys. If you haven’t registered, choose Register for a Supplier Account. It is important to check the ODOT/Aviation check box! If you have registered, please review your account to verify that you have checked the ODOT/Aviation check box! Until you have completed registration, AWP training and access will be delayed.
AWP projects are identified in the bidding information. When the project is awarded, the Prime contractor will be notified. Our sys admin team is also notified that the Prime is approved.
Next, we work with the RE or Consultant office to determine when we can begin training their staff and the Prime. It takes about 4-5 days to train everyone. Training sessions are from 8:00 a.m.-12:00 p.m. and 1:00-5:00 p.m. We train by roles. Different roles have different classes to attend. Most do not have more than a few classes over the length of the training.
The Prime identifies their subcontractors and technicians and who requires which role(s) in AWP. As subs and techs add payroll information and materials data into AWP, they need to attend the training, too. The Prime is responsible for relaying training details to the subs and techs and to verify who will be attending from those groups. Subs are required to attend for Certified Payrolls training. Technicians attend training based on their roles related to their job responsibilities.
Our sys admin team will send emails to the RE Office/Consultant and to the Prime letting you know about the training dates, schedule, and additional information needed from your offices before training begins.
One person from each area will complete the access form, located on our website. We use this form to confirm who should have access to the live AWP Prod site after training and which role they need. In other words, list the people who will be doing the work. Users must be trained BEFORE they can be added to the live contract in AWP. This includes subs and techs.

Agency Users: The contract administrative specialist (CAS) or someone else in your office will complete the access form for all users in the RE office or Consultant’s office.

Prime Contractor Users: One person from your office should complete the access form for all your AWP users. It is submitted to the sys admin team by choosing the Submit button when you have completed the form.

Subcontractors/Technicians: You will also need to submit one form for your office including all AWP users. You should submit it to the sys admin team by choosing the Submit button when you have completed the form. Please send a list of your users to the Prime contractor as well.

If you’re working in Doc Express (DE) for your current projects, you are familiar with our Doc Express Document Directory (DEDD). It’s a collection of details for workflow, descriptions and naming conventions used in Doc Express. It covers everything we upload into DE. We have a similar tool as you begin to use the AASHTOWare Project system with your new contracts.
The AASHTOWare Directory (AWD) provides guidance, naming conventions, and workflow instructions for projects being managed in AWP.
Following Notice to Proceed, you can refer to the AWD to know where to submit documents and data for the contract. We will use AWP to enter data, while still using DE for documents. The AWD identifies what goes where. You’ll can find what should be submitted to Doc Express and what should be entered into AWP. In addition, if the data is added to AWP, a QRG link is provided to help you learn the steps.
The AWD provides a guide to ensure data is where it can be used best and that our documents (e.g., plans, correspondence, forms, etc.) have been uploaded into the correct DE drawers for the contract.
