Let Implementation Commence

The ODOT APOST project team has been talking about deployment for a while now. When will it begin? Fall? Spring? When?? The time is quickly approaching, and we have selected 4 projects to begin the deployment process.

AWP Initial Projects

Are we sure we are ready? Yes, we are!

By late June we will be nearly complete with configurations and testing to the system and ready to go. Why not 100%?!? There will always be one more thing to add, but we will have the majority accomplished. All critical configurations will be tested and completed. As we go through the process, we know there will be things we find out that need to be adjusted. That’s when our vendor support will be available to back up our system administration team in making those needed adjustments.

If you are nervous about the implementation, that’s ok. We’ve got you!

  • We will be onsite at each new project for hands-on training.
  • Training is for the RE, CAS, Consultant, Prime, Subcontractor, Technician, etc. All users of AWP will receive training.
  • The first few projects will have our vendor Infotech present to fix any issues that arise on the spot.
  • Subject matter experts from ODOT will be the trainers.
  • We have a system administration team that will be available by Teams, phone, or email.
  • We have quick reference guides (QRGs) and computer-based training modules (CBTs) with step-by-step instructions available to print out or save to your desktop.
  • AWP comes with an incredibly useful Help section that covers everything in the AASHTOWare Project system.
  • We will be creating a library of Tips & Tricks that will be published on our AWP internet page.

We’re ready to implement AASTHOWare Project, beginning with our first new projects.

Before we start AWP at ODOT, we want to take a moment to reflect on our journey with APOST (AASHTOware Project One Source of Truth). Each of you has made a positive impact on our experience!

So many people have participated in making this possible. It would be impossible to acknowledge each of you in this newsletter article. The list would include ODOT Contract Admin, RE office staff, ODOT Structure Services, ODOT Quality Assurance, ODOT Materials Lab staff, subject matter experts, technical experts, miscellaneous internal ODOT staff, consultants and contractors. You have contributed time and ideas over the last few years to make this happen while continuing to work on your “real jobs”. You have participated in subcommittees and testing, pilots and Q&As, meetings and more.

We couldn’t do this without each of you. Your input has been invaluable. We appreciate your endurance. We love your enthusiasm! Know with certainty, we value you. We are extremely grateful for everyone involved with the APOST project and all that you have done!

 


How We’ll Learn AWP

We want to make the transition to AWP
as comfortable as possible.

Training is a big part of your success.

Here’s how we intend
to make it a positive experience.

 

Getting Started – Anyone can take the Getting Started training on Workday at any time. It’s a prerequisite for the AWP training, but available now for you. And you can take it as often as you’d like.

Role Training – AWP has a lot of features. You only view the ones that you use for the role(s) used in your job.

Just In Time – You will receive your initial training right before you begin work on your AWP project. This means you apply what you discover right away to reinforce your learning. There will be no lag time between training and doing.

Training Materials Access – We cover a great amount of information at the in-person trainings, but you will have access to all of it. Need to look things over? Forgot a step? Check out the quick reference guides (QRGs) or the computer-based training (CBTs) on your own time, when you need it.

Ask a Question – There will be an email box to ask your questions and get a timely reply. We’ll also have a hotline, hosted by a live person. This will be available during set business hours. AWP System Admin and subject matter experts will provide hotline resources.

On the Ground Help – Power users from your RE office or in your local area will be available. These are the people who know your contract and can assist you with the AWP processes.

Training will be available for internal ODOT users, consultants, contractors, subcontractors and others. Watch for notices about training for our first implementation projects coming soon! Questions about training, email us at odoteconstruction@odot.Oregon.gov.

 


Be Prepared BEFORE Training

Once a contract has been selected to be managed in AWP and awarded to the Contractor, training will be coordinated with the appropriate RE Office and/or Consulting office.

Even if you do not have a project on the horizon, you can still prepare. This is what’s needed before training.

Contractors (Primes and Subs) & Consultants

Internal ODOT Crews – Once we have our AWP projects determined, training will be scheduled for the specific RE offices. Watch for communications regarding training for your first AWP project!​ (Each individual needs to complete Getting Started training on Workday. You cannot complete your registration for role training until you have completed Getting Started!)

Shout out to Jackson Looney and Steven Behrmann with Infotech, Inc. for completing the BOLI interface. Jackson worked tirelessly on getting the BOLI interface data perfect for ODOT. Steven made all the necessary system changes required based on the quick reference guide (QRG), and updated roles based on testing issues found. Thank you both for your patience!
