AWP at March Workshops

Workshop

March 12-13 or March 19-20

Many topics will be covered during our ODOT Construction Administration Unit (CAU) Workshop. You can register in Workday. Every session has something of value for you to upgrade how you do your work with new ideas, better resources and sharper tools. This workshop is for ODOT and Consultants working with construction administration of ODOT projects.

One of those resources is the opportunity to see a live demonstration of AASHTOWare Project (AWP). Many of you have taken advantage of our sneak peeks, training meet-ups and Q&A sessions. As we get close to implementing AWP, you may have specific questions of your own. Discover answers to your questions.

If you are attending either of the CAU workshops, we’ll be there to address issues and share what we’re expecting with AWP. We’re looking forward to spending time with you.

Your Flight Is Ready for Take Off!

Can you feel it in the air? Spring is coming! AWP is also getting ready to Go Live. This is what’s on the horizon for Civil Rights & Labor and Construction & Materials.

Once we determine our initial projects, the AWP Sys Admin group will receive information from our other AWP modules, Preconstruction and Estimation. Then, additional Civil Rights, Construction and Materials data will be added to those contracts to prepare users to complete their work.

Our next step will be to set up training events for your office (ODOT and Consultant) and the Prime and Subcontractors. Even if you do not have a project on the horizon, you can still prepare. This is what’s needed from you before training.

Contractors (Primes and Subs) & Consultants

  1. Each individual needs to complete Getting Started training on Workday. (If you cannot complete these before the training session, you may not be able to work through the training sessions.)
  2. Each individual needs to create a Workday account.
  3. Company needs to complete OregonBuys registration.
  4. Company needs to identify AWP users and their roles.
  5. Company needs to confirm that their payroll system is ready to work with AWP (contractors only). Contact Lynda Nelmes for details.

Internal ODOT Crews – During the next few weeks, projects will be identified to be part of the initial deployment. Your RE will be involved in that decision. Once we have projects, training will be scheduled for the specific RE offices. Watch for communications regarding training for your first AWP project!​ (Each individual needs to complete Getting Started training on Workday.)

How We’ll Learn in AWP

Have you noticed? Every new program that comes your way in your job has a learning curve that stretches and challenges. It seems as if you finally master a particular program, then another comes to push you in a new, unfamiliar direction.

And, each time, you’ve been promised that this will help improve your work, reduce your stress, make you more productive at your job.

We want to make the transition to AWP as comfortable as possible. Training is a big part of your success.

Here’s how we intend to make it a positive experience.

  • Getting Started – Anyone can take the Getting Started training on Workday at any time. It’s a prerequisite for the AWP training, but available now for you. And you may take it as often as you’d like. 
  • Role Training – AWP has a lot of features. You only view the ones that you use for the role(s) used in your job.
  • Just In Time – You will receive your initial training right before you begin work on your AWP project. This means you apply what you discover right away to reinforce your learning. There will be no lag time between training and doing.
  • Training Materials Access – We cover a great amount of information at the in-person trainings, but you will have access to all of it. Need to look things over? Forgot a step? Check out the quick reference guides (QRGs) or the computer-based training (CBTs) on your own time, when you need it.
  • Ask a Question – There will be an email box to ask your questions and get a timely reply. We’ll also have a hotline meeting on Teams, hosted by a live person. This will be available during set business hours. AWP System Admin and subject matter experts will provide hotline resources.
  • On the Ground Help – Super users from your RE office or in your local area will be available. These are the people who know your contract and can assist you with the AWP processes.

Excellence Award: Jim Gunter

APOST Excellence Award

This month we want to recognize Jim Gunter, ODOT Senior Quality Assurance Specialist, for his work on the APOST project.

Despite being very busy with certification training, Jim jumped in and spent many hours on APOST. With his knowledge of the QCCS and RE Office field positions, he provided invaluable insight on how best to develop AWP for the end user. He volunteered to enter massive amounts of material data into the system. For pipe alone he entered 1000's of data points, taking him months of work.

Jim has been given the nick name “The Wrench" by his APOST cohort as he always looks for what could go wrong and/or become difficult for our end users. It’s one of the qualities that makes him a great trainer! Also, he has provided the opportunity for the APOST project team and subject matter experts to present at the Inspector and QCCS workshops for the past several years. This allowed us to get feedback and communicate with our field staff all in one place.

Thank you, Jim, for the incredible work that you do. Your commitment to all of our customers, internal and external, has greatly impacted AWP. We couldn’t have accomplished this without you.

 


Shout Outs

Shout out to David Dobson, Mike Stennett, Lynda Nelmes, and Anita Muhly for volunteering, preparing, and presenting valuable AWP demos at the RE Annual Meeting as well as the Inspector and QCCS workshops in February. Your knowledge on the topics helped our end-users feel more confident. Having subject matter experts involved with training helps to ease the transition to AWP. Thank you for your time and dedication to the project.

Wow! Shout out to Jaclyn Elmes and Jason White with Infotech, Inc. for providing their expertise and non-stop work on agency views (AVs), reports, and cleaning the system. Your dedication to make our project successful gives us confidence. We’re grateful to have you on our project.

Big shout out to Eric Burns. As the lead for our ODOT Materials module, Eric has been involved in many decisions. He is responsible for providing the requirements for multiple AVs and reports. He has dedicated hours to putting these submissions together and we want to recognize his ongoing efforts. Thank you, Eric!
