Procurement During C19 Updates

Personal Protective Equipment & Supply Ordering

In response to the COVID-19 pandemic, one of of the first actions ODOT undertook was the creation of a task force to collect, source, and distribute supplies and Personal Protective Equipment (PPE) for employees. The task force members include representatives from DMV, Commerce and Compliance, Procurement, Employee Safety, Delivery and Operations and others. Its job continues to be the development of a framework to get supplies and protective equipment to ODOT employees in a coordinated effort.

Employees are required to submit supply requests to their supervisor or manager and then ODOT Storeroom will receive the orders and work with OPO to identify sources, place orders, receive the supplies, and distribute it as soon as available.

OPO is working closely with the DAS Procurement Office to ensure that we identify suppliers that can provide what we need and minimize impact on the supply chains that are providing PPE for healthcare workers across the state. We want to recognize that supplies and PPE equipment are in high demand nationwide, and hospitals and first responders are at the head of the line. We will continue to pursue all credible sources of supply and distribute supplies as quickly as possible.


NOTE: We want to emphasize that the most effective defense against the C19 virus is still hand washing for at least 20 seconds with soap and warm water. We have included the ODOT Occupational Health and Safety Guidelines which includes best practices for personal safety and cleaning.


SPOTS Reconciliation for DAS Exempted Supplies

When purchasing sanitation products listed on the DAS exemption list (hand sanitizer, protectant gloves and disinfectant), please ensure a copy of this email is attached to the cardholder's SPOTS logs if these items are purchased anywhere else until the emergency is lifted by the Governor.


OregonBuys | Project Update

ORBuys

The COVID-19 outbreak has rapidly changed the way we all live and work. Many state employees have taken on extra assignments to support -critical services for Oregonians. The OregonBuys team is doing its part to help too, and appreciates all the work everyone is doing in these uncertain times.

Throughout March, the ORBuys team focused their efforts on testing Version 15, the latest software update that was needed for our working environment. The ORBuys team is currently finishing three rounds of testing with our state R*STARS (Relational Statewide Accounting and Reporting System) system. Once this work is complete, they will conduct a reconciliation review and transition to system functionality testing moving state procurement one step closer to one unified system.


Staying Safe and Healthy

Touch Points and Cleaning | Please consider any areas that people touch as touch-points. It is vital that we make sure to clean under and around touch-points and increase self-care and hand washing during the COVID-19 pandemic. Using Price Agreements

To reduce exposure to both staff & customers, most companies are now offering online ordering and curbside pickup and delivery. This is a great way to minimize business interruption and stay healthy. One such company is North Coast Supply, you can find more information in their newsletter here.
