Due FRIDAY: Replace DUNS with SAM UEI

The Federal Government is transitioning from DUNS to the new Unique Entity Identifier (UEI) number in accordance with 2 CFR Part 25.

All organizations that receive federal dollars and already have a DUNS number will now have a new UEI number assigned to them. School districts must visit SAM.gov to retrieve their UEI number.

All LEAs must update their DUNS number to a new SAM UEI number in the Grants Management System (GMS) by April 1. The DUNS number will be discontinued and no longer accessible on SAM after that date.

SAM UEIs can be updated in the GMS under Consolidated Plan > Assurances > DUNS number. This is located at the top of the GMS application homepage where all federal programs are listed for each district. Updating the number here will update the number in all related applications.

Please note that claims for federal funds cannot be paid until this number has been updated.

Closes June 30: Chronic Absenteeism Medical Exemption Window for SY 2021-22

The Chronic Absenteeism Medical Exemption Window is now open in the Accountability Reporting application in Single Sign-On. Any day that a student was absent due to a significant medical condition may be exempted from SY 2021-22 Chronic Absenteeism reporting. These exemptions, if in alignment with conditions specified in OAC § 210:10-13-25 and local policy and approved by the local exemption committee, will be excluded from reporting. Among other scenarios, this exemption applies to students who are receiving treatment for a chronic or terminal disease or students who have lost an immediate family member.

School leaders may submit Chronic Absenteeism Medical Exemptions for specific students within the Accountability Reporting application in Single Sign-On. For more information on submitting such requests, please review this guidance document. Please note that this window — in conjunction with ensuring data accuracy within the certified Annual Statistical Report (ASR) — serves as the only data verification process for student-level Chronic Absenteeism data prior to SY 2021-22 reporting.

Trainings/Webinars

Due April 15: Applications for Elementary Mathematics Summer Workshops

OSDE, in partnership with Math Solutions, is offering regional mathematics summer workshops for elementary teachers. These three-day workshops will focus on engaging and supporting students in developing foundational skills for understanding elementary mathematics concepts.

PK-5 educators, as well as 6th-grade educators in an elementary building, are encouraged to apply.

June 6-8: Atoka (Kiamichi Tech Center)
June 13-15: Tulsa
June 20-22: Weatherford (SWOSU Pioneer Cellular Event Center)
June 27-29: Oklahoma City (Francis Tuttle Technology Center, Rockwell Campus)

OSDE will cover the cost to participate in the workshops. Only 80 spots (40 for grades PK-2 and 40 for grades 3-5) are available at each location.

Elementary Administrators Workshop: Elementary Mathematics and Instructional Coaching

This workshop, which is geared toward building and district leaders, will engage participants in practices that address unfinished learning in the elementary math classroom. The workshop will also provide direction on best practices for coaching to support elementary mathematics educators and will help participants understand the characteristics of a highly effective mathematics classroom.

June 21-22: 2022 MTSS Summer Conference - Supporting the Whole Child

MTSS Conference Flier

Attend the annual Multi-Tiered System of Supports (MTSS) Conference June 21-22 in Edmond to learn about prevention and intervention methods, mental health and integration alignment, classroom strategies and other aspects of implementing MTSS in a school community.

Keynote presenter Kelly Perales will expand on MTSS core features (teaming, using data for decision making, evidence-based practices, professional development and a continuous improvement cycle) to address whole-child wellness for all. Perales will discuss using a single system of delivery across state, district and local school levels and examine current efforts such as trauma-informed care, mental health and behavior supports, and creating an action plan for alignment.

Other News

Include in Student Enrollment Packets: Migrant Education Program Parent Surveys

Please include migrant parent surveys in your student enrollment packets. Districts are encouraged to read the survey directions before distributing the English and Spanish surveys.

OSDE staff will review responses provided on the survey to interview parents to determine if a family qualifies for the migrant program.

Needs Assessment & Interest Form: Oklahoma Math Tutoring Corps

The Oklahoma Math Tutoring Corps is a statewide virtual math tutoring initiative. In the initial nine-week pilot, over 400 eighth-grade students received tutoring services three days a week for 50 minutes each session in groups of no more than three students.

Tutors are either certified educators or college students. Beginning fall 2022, the program will be expanding to include up to 1,500 students from grades 7-9 for up to 18 weeks. Read more about the initiative and the research informing it here.

Please complete this form to indicate your interest if your school or district would like to recommend students for the statewide Oklahoma Math Tutoring Corps. You may also fill out the form if you would like to receive resources to start your own math tutoring program.

State Systemic Improvement Plan for K-3 School Sites

The State Systemic Improvement Plan (SSIP), administered by the Office of Special Education, seeks to improve early literacy outcomes in K-3 school sites by the end of 2025. All K-3 school sites will have access to curated universal supports and three years of sequenced professional development. ATSI school sites will have an additional invitation to apply for instructional coaching.

Community Eligibility Provision (CEP) for SY 2022-23

LEAs electing CEP, establishing a new identified student percentage (ISP) or conducting a grace year for SY 2022-23, must calculate the ISP using data drawn from April 2022 direct certification information. The best time to pull this data is around April 6.

LEAs must print a district enrollment list for the same April 2022 time period as the direct certification from the WAVE.

LEAs should also compile documentation for any foster students (verified by the local foster agency), tribal students who receive Indian Commodities (verified from the tribe), a list of students in a federally-funded Head Start program (verified from the Head Start agency) and any homeless, migrant or runaway students determined by the district’s liaison for that program.

Districts must confirm their decision to elect CEP for school year 2022-23 to OSDE by June 30.

Closes April 10: 2022 State of School Safety Survey

Educators and school administrators are invited to participate in the 2022 State of School Safety Survey administered by the Safe & Sound organization.

Access the survey here.

Survey responses are due April 10.

Insights gained from this research will shine a light on the most pressing current school safety issues and help shape national school safety advocacy and education efforts. A research report based on survey findings will be published at the end of this school year, as schools begin preparing for the 2022-23 school year.


Be Prepared for Spring Weather

#SafePlaceSelfie day is April 6. This event provides a fun, creative and interactive opportunity for your school or district to think about shelter-in-place plans before an emergency occurs.

If your school/campus has safe rooms, your planning team may use this event as an opportunity to conduct a walk-through and check emergency supplies. Planning teams can also use this event as an opportunity to collaborate with first responders to determine evacuation routes and rally points to safe locations, train students and staff on evacuation procedures, and/or share information specific to individuals with access and functional needs and in multiple languages.
