SY 2020 Enrollment Graduation Data Review Window is NOW OPEN
During this unprecedented year, the Office of Accountability has continued its mission of providing Oklahomans with data-driven information and supports while also satisfying state and federal reporting requirements. We applaud the ongoing efforts undertaken by staff at your school to support these various data reporting requirements.
The OSDE has recently minimized the number of graduation-related reports necessary for districts to complete annually. Because of this, the upcoming Enrollment Graduation Review process (formerly called the Graduation Audit Window in Fall 2020) will serve as the final opportunity for schools and districts to review and request changes to SY 2020 student-level graduation data (2020, 2019, 2018 cohorts) prior to upcoming graduation calculations and reporting, as is federally required for the 2021 reporting year.
Before a student can be removed from a school’s adjusted cohort graduation rate—that is, students who are confirmed to have transferred out, emigrated, or passed away—a school or district must provide appropriate documentation for any instance in which the OSDE finds an enrollment conflict. Students are labeled as having an enrollment conflict when they exited your school, yet no later enrollment was found in an Oklahoma public school. For example, if a student was labeled as transferring to another state, a conflict is generated.
To allow for students to be removed from schools’ adjusted cohort graduation rates, the Office of Accountability opened the Enrollment Graduation Review process through the Accountability Reporting application in Single Sign-On on Wednesday, April 21, 2021. The Enrollment Graduation Review process allows schools to:

Use the new EZ Entry process to easily upload appropriate written documentation that corroborates student removal from the adjusted cohort—that is, for students who transferred out, emigrated, or passed away and have an enrollment conflict—as required federally and by the Office of the Oklahoma State Auditor and Inspector; then

Create Data Verification Requests (DVRs) and upload supporting documentation for all students whose exit codes may need updating.

For example, a student exited as ‘3505’ may have later graduated, or the school may have received a records request for the student during the summer.
Any student without appropriate documentation uploaded during this window will be included in the school’s adjusted cohort graduation rate as a non-graduate. The Enrollment Graduation Review process closes Friday, May 7, at 5:00 PM.
To prepare for this Enrollment Graduation Review process, we ask that district and/or school data users log into the Accountability Reporting application in Single Sign-On to familiarize themselves with the layout and filters in the Enrollment Graduations data tab. Also, on the Office of Accountability’s website, you can find a step-by-step guidance document that will allow for quick resolution of this report.
