FAQ - Expanded Use of Telehealth for School-Based Health Services During COVID-19

The Oklahoma Health Care Authority (OHCA) is allowing expanded use of telehealth beginning March 16, 2020 through April 30, 2020 for services that can be safely provided via secure telehealth communication devices for all SoonerCare members. This FAQ has been prepared to provide guidance on the impact to the School-Based Health Services (SBHS) program.

Compliance and Monitoring Procedures adjusted due to COVID-19

During this period of distance learning due to COVID-19, the OSDE-SES compliance and monitoring procedures will be adjusted as follows:

    • DMR Level 3 and Level 4 sites - We are currently in the process of drafting reports.  At this time, the plan is to have final reports to districts in the fall. 
      • For districts that were scheduled for on-site visits during the closure of normal school operations, reports will be developed based on district data and a review of student files. The OSDE-SES may determine to conduct additional monitoring activities, including on-site reviews, for these districts during the 2020-2021 school year.
  • Grants Management System (GMS) is still operational for the following:
    • Progress monitoring towards your goals can be entered at any time beginning now until June 30th.  We are no longer requiring progress monitoring to be provided twice but have moved to requiring one progress monitoring entry this school year due by June 30, 2020.  Your progress should describe how the implementation of your improvement plan has impacted the progress towards your goal.  If you have not had an opportunity to fully implement your plan, please note this in the progress monitoring field. It may be easier to utilize data prior to Spring Break.
    • Professional development (PD) is due by October 1st.    Please upload your agenda and sign-in sheet, or other supporting documentation of staff participation, by this date. You may either schedule the PD you identified as necessary to assist your district at the beginning of the 2020-21 school year or you may look at virtual options such as Zoom, Skype or conference calls.

OAAP Distance Learning Resources

The OAAP Distance Learning Resources page has been created to support teachers meeting instructional needs for students with significant cognitive disabilities through distance learning. This page contains instructional activities in addition to resources provided by Dynamic Learning Maps (DLM) for teachers and parents. The page will be updated regularly as resources are developed and shared. If you know of a high quality resource you would like to share, please contact Kurt.Johnson@sde.ok.gov.


Student Enrollment - KITE Educator Portal

As part of the Oklahoma State Testing Program (OSTP), Dynamic Learning Maps (DLM) testing through the Oklahoma Alternate Assessment Program (OAAP) has been suspended for the remainder of the 2019-2020 school year. Students currently enrolled in KITE Educator Portal may remain enrolled. There is no need for districts to exit students. Questions regarding student enrollment or the suspended testing window should be directed to the Oklahoma DLM Help Desk at 1-844-261-6481 or emailed to Kurt.Johnson@sde.ok.gov.


FY2021 Assurances

The FY2021 Assurances are now available online. You can access the Assurances through the GMS. Assurances must be submitted by June 30, 2020.  Should you have any questions please contact your finance specialist.


End of Year Data Training

Two additional shorter webinars are scheduled to provide districts the necessary information for the EOY data submission. Please plan on attending one of these if you did not participate in the comprehensive webinar training on the 14th. Additional information and registration links are available on this document.
