Effective July 1, Comdata fuel transactions on all cards will be limited to Level III gas stations with payment at the pump only. Level III stations will be the designated standard moving forward, as they provide enhanced transaction details, including fuel type, gallons pumped and price per gallon.
This update will support accurate oversight and compliance, ensure sales tax is not charged on fuel purchases, and eliminate the requirement to submit receipts. Visit the driver resources page to locate Level III gas stations.
Users operating in rural areas where Level III stations are limited may request an exception to this requirement. Exception requests will be reviewed to determine eligibility under the updated policy, which will be published and distributed by July 1.
Car washes
Effective July 1, agencies will also be responsible for developing and maintaining their own internal policies and procedures governing the purchase of car wash services on Comdata cards. These agency-level policies must clearly outline the allowable use, approval requirements, documentation and restrictions specific to car washes. Agencies must ensure these provisions are incorporated into their internal controls and communicated to all authorized cardholders.
