Agency leaders and HR professionals,
Effective Feb. 13, all state employees are encouraged to complete a flex work arrangement in Workday@OK. This feature is designed to streamline the process for agencies to comply with the reporting requirements established by Executive Order 2024-29. The workflow will replace any paper telework approvals and tracking, simplifying the quarterly reporting process.
The flex work arrangement can be completed in two ways:
- Announcement to all employees on Feb. 13: The Workday@OK team will post an announcement within Workday@OK to your employees, prompting them to launch their flex work arrangement.
- Employee self-enrollment: In addition to the announcement, employees may navigate to the Request Flexible Work Arrangement task by following the instructions in the Flex Work Arrangement User Guide.
The Workday@OK team has provided a few tools for you to monitor your agency’s participation:
- A tab on the worker profile under Job > Flexible Work Arrangements to monitor arrangements for that individual.
- A report, RPT00401 - Flexible Work Arrangements, to populate a list of all workers and their flexible work arrangements. Note: Arrangements will only show on this report once they have been completed.
Employees should complete their flex work arrangement as soon as possible. Executive Order 2024-09 requires agencies to submit remote or hybrid workforce composition reports to OMES on a quarterly basis, beginning March 31. For your convenience, we have included a sample communication template below.
Example communication for agency employees
Feel free to use the language below to communicate important details to your agency's employees:
Employees full-time in office:
- Select Full Time In-Office in the Type field.
- Select Submit.
This will auto-complete and bypass the agreement and approval process.
Employees requesting telework:
- Select Hybrid-Remote or Full-Time Remote in the Type field.
- Select a prepopulated reason for the request.
- Attach a document with their agency director’s approval using the category, Flexible Work Arrangements. The process will not be submitted if there is no approval attached.
- All teleworking employees will receive a Review Documents step to agree to the
Employee Flex Work Arrangement statement.
- Once the Review Documents step is submitted, the request will route to the
employee’s immediate supervisor for approval.
- The supervisor can approve or send back the request. Select Approve to complete the process.
Prior to submission, check with your supervisor on the number of days you are expected to be in the office. Once you select Submit, another task will generate to review the agreement. Please review the agency telework policy prior to completing this task.
For all employees requesting telework, the request will route to your immediate supervisor for approval.
All telework arrangements are subject to the provisions of Executive Order 2024-29 and must be approved by agency executives. Teleworking arrangements can be discontinued at any time. If you have questions regarding the telework policy, please reach out to Human Resources.
