Workday@OK Flexible Work Arrangements rolling out July 1
On July 1, the Workday@OK team is introducing the Flexible Work Arrangement task within Workday@OK. This new workflow will replace any paper telework approvals and tracking.
To launch this at your agency, choose between the following options:
- Employee self-enrollment: The employee navigates to the Flex Work Arrangement task by following the Flex Work Arrangement User Guide.
- Announcement to all employees: Upon request via a Service Desk ticket, the Workday@OK team can post an announcement within Workday@OK to your employees, prompting them to launch their Flex Work Arrangement.
Regardless of how you choose to roll out, the Workday@OK team has provided a few tools for you to monitor your agency’s participation:
- A tab on the worker profile under Job > Flexible Work Arrangements to monitor any arrangements for that individual.
- A report, RPT00401 - Flexible Work Arrangements, to populate a list of all workers and their flexible work arrangements. Please note arrangements will only show on this report once they have been completed in Workday@OK.
Please note: Employees will receive a To Do item to update their address (if necessary) as part of this process. An approval is required by the HR specialist on all home contact changes. To manage a large number of repetitive tasks, use the Bulk Approval option on the left side of your inbox for a more streamlined approval experience. If you need assistance with this, submit a Service Desk ticket to the Workday@OK team.
If your agency does not allow employees to telework, you can request to opt out of allowing your employees to utilize the Flex Work Arrangement task by submitting a Service Desk ticket.
Example communication for agency employees
Feel free to use the language below to communicate important details to your agency's employees:
Employees full-time in office:
- Select Full Time In-Office in the Type field.
- Select Submit.
This will auto complete and bypass the agreement and approval process.
Employees requesting telework:
- Select Hybrid-Remote in the Type field.
- Select the days of the week to work outside of the office.
- Select Submit.
Prior to submission, check with your supervisor on the number of days you are expected to be in the office. Once you select Submit, another task will generate to review the agreement. Please review the agency telework policy prior to completing this task.
For all employees requesting telework, the request will route to your immediate supervisor for approval. Upon approval of your telework agreement, you will receive a to-do task to update your home contact information including identifying your home address as your “work from home” address.
All telework arrangements are reviewed by Human Resources and agency leadership. Teleworking arrangements can be discontinued at any time. If you have questions regarding the telework policy, please reach out to a member of the Human Resources team.
