HIPAA Verifications for ESI Businesses

Effective immediately, Insure Oklahoma is implementing a business process change to how it verifies HIPAA compliance for ESI businesses. Insure Oklahoma will now use only the Federal Employer Identification Number (FEIN) for verification. 

Document Processing Times

Please note the following standard processing times: Income Documents: 21 business days Employer Applications: 30 business days All Other Documents: 5 business days Please do not call to request expedited processing; all documents are reviewed in the order they are received.

Countable Income Reminder

A quick reminder about income: bonuses and overtime are countable income. This means any money earned from bonuses or extra hours will be factored into eligibility determinations.

Qualified Benefit Plan Guidelines

Quality Benefit Plan (QBP) assignments must align with employee eligibility dates. Verify Eligibility Start Date: Always confirm the employee's eligibility start date. Assigning the QBP: Do not assign a QBP until the month before the employee’s eligibility date. Example: If an employee's eligibility begins on March 1, the QBP should be assigned in February.  Failure to follow this procedure will prevent the generation of a subsidy letter. Timely Submission of Renewal Rates

To ensure we can accurately calculate the subsidy amounts for the upcoming period, please submit your renewal rates promptly. This allows Insure Oklahoma to process the necessary calculations in a timely manner.

Employer Applications

The processing time for employer applications is 30 days. Insure Oklahoma does not approve employer applications during the last week of each month to avoid employee enrollment issues.
