Employees or their authorized representatives must NOT alter income details on member accounts after income verification has been completed and eligibility determined. This could be considered Medicaid fraud.
To protect program integrity, Insure Oklahoma has begun locking affected member accounts. This restricts members' ability to manage accounts online and increases the administrative burden. If ineligible individuals continue receiving benefits, participating employers may be subject to subsidy recoupment.
All employers should speak with employees and agents to ensure they understand that verified income must not be modified under any circumstances.
 Pension or retirement amounts listed on employee pay stubs will only be deducted from income calculations if they are clearly indicated as pre-tax contributions.
When entering income information, please use the amount labeled as “Federal Taxable Wages,” “Total Taxable Wages” or any similarly worded field. This amount must be used to ensure accurate income reporting.
Agents and brokers may no longer be designated as the primary user on employer applications. The primary user must be the business owner or employer contact. Additionally, only the business owner or employer contact is authorized to sign the employer application.

The business owner or employer contact must sign all Insure Oklahoma forms. Agents and brokers are not permitted to sign on their behalf.
 Many Insure Oklahoma forms have recently been updated. Please ensure you use the most current versions, which can be downloaded from our website.
Insure Oklahoma uses data reported to the Oklahoma Employment Security Commission (OESC) to determine employee count. Both full-time and part-time employees are included in this calculation to assess program eligibility.
Employer Applications The processing time for employer applications is 30 days. Insure Oklahoma does not approve employer applications during the last week of each month to avoid employee enrollment issues.
Documentation Submissions Do not submit mailed documents with staples or paperclips. This slows the processing time.
