 On March 1, Ohio Medicaid Claims Validation Processes Will Begin for Electronic Visit Verification Phase 1 Providers.
Over the past several months, the Ohio Department of Medicaid (ODM) has been working with Sandata, ODM’s Electronic Visit Verification (EVV) vendor, to prepare providers for changes coming to the claims adjudication process. As previously announced, to make this transition as smooth as possible for providers, ODM will stagger the roll out of claims validation by phases.
The Phase 1 roll out impacts home health services claims billed to Ohio Medicaid.
The first phase will apply to home health services claims billed to ODM and consists of the following service codes:

Claims that require electronic visit verification must have a matching EVV visit record. Claims that do not match will be denied.

NOTE: If you are using an Alternate EVV vendor, your vendor may not be sending modifiers with the service codes on visits. Please check the Aggregator and review your visits to ensure any service code that should have a modifier added was sent over to the Aggregator correctly. It is important to note that there are only two services that have a variation with and without a modifier: G0493/G0493 U9 and T1001/T1001 U9.

 January 24 Alternate Electronic Visit Verification Vendor Town Hall Virtual Meeting

The technical issue that prevented approval and system entry of Live-in Caregiver Exemption requests has been resolved as of December 20, 2024. ODM and Sandata have started loading live-in exemptions into the EVV system.
ODM is processing exemptions and will notify providers via email as they are entered and approved. You will continue to receive notices of noncompliance with EVV requirements until all your requests are approved.
Providers can log into the EVV system and click the XREF tab found on the left tool bar to see approved live-in exemptions.

As Sandata previously noted, providers using older versions of Apple iPhones may receive a notice regarding technical issues related to the Sandata Mobile Connect (SMC) app. For your awareness:
- Sandata confirmed with Apple developers that SMC is operational, and customers can log in to the app iPhones with iOS 16.4 version and above.
- Providers having access connection issues are asked to update the Apple iOS to the 16.4 version. iPhone users can make the upgrade by going to Settings>General>Software and install the latest version.
- The recommended version for optimal app performance on iPhones is Apple iOS 17.
- iPhones older than iPhone 8 cannot be updated to iOS 16.4 or higher due to Apple hardware limitations.
ANDROID USERS: Please note, Android operating system 5.0 is the oldest version available to support Sandata Mobile Connect.
Alt EVV Providers:
PatientOtherID is seen in the Active Recipient Report – top number listed under the Recipient Alternate ID column as indicated in the illustration below. The bottom number is the Medicaid ID.

Providers unable to access eTRAC due to a recent email change are asked to submit a request through Sandata On-Demand. You may also call the Sandata EVV Provider Hotline at 855-805-3505 or email ODMCustomerCareEmail@sandata.com for assistance.
System Enhancements Training
Description: This two-hour course will guide agencies and independent providers through enhancements made to the EVV system.
Intended Audience: Agency administrative staff and independent providers using the Sandata system. This training is not intended for agency-employed direct care workers or participant-directed only providers who receive payment through a financial management service.
Aggregator Training
Description: This one-hour course will guide agency providers using an alternate vendor through the recently implemented changes to reporting and sign-in.
Intended Audience: Agency provider administrative staff using an alternate vendor.
Optional Scheduling Training
Description: Scheduling is an optional feature in the Sandata EVV system. This one-hour course will show users how to create and manage schedules for direct care workers. Using this feature reduces the need for direct care workers to enter the client or recipient ID for each participant and allows them to see their schedule directly in the Sandata Mobile Connect application.
Intended Audience: Agency administrative staff and independent providers who use the Sandata EVV system to capture visits.

Sandata regularly updates its EVV software via releases to ensure it runs smoothly. Below are the changes introduced in the Sandata EVV web portal and Sandata Mobile Connect app during the last quarter of 2024.
